Job Summary
We are seeking a highly organized and detail-oriented Entry-Level Executive Assistant and Operations Coordinator to support our team in managing daily administrative tasks and operational functions. This full-time or part-time role offers an excellent opportunity for individuals interested in developing their office and administrative skills within a dynamic environment. Responsibilities
- Manage and coordinate schedules using Microsoft Outlook Calendar and Google Workspace to ensure timely appointments and meetings.
- Perform data entry, filing, and bookkeeping tasks utilizing QuickBooks, Microsoft Office, and other relevant software.
- Handle front desk duties including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette.
- Assist with administrative support such as proofreading documents, preparing correspondence, and managing office supplies.
- Support operational activities by organizing files, processing documents through DocuSign, and maintaining accurate records.
- Provide exceptional customer service to clients and internal teams by responding promptly to inquiries via phone or email.
- Support team members with clerical tasks including typing, data entry, and organization of digital and physical files.
- Assist with project coordination and follow-up to ensure deadlines are met efficiently.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks for bookkeeping and financial record management.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and customer service skills for handling inquiries professionally.
- Ability to perform data entry accurately with a focus on attention to detail.
- Familiarity with multi-line phone systems and front desk operations.
- Experience with Office experience or clerical roles is preferred.
- Capable of proofreading documents for accuracy and clarity.
- Knowledge of DocuSign or similar electronic signature platforms is a plus.
- Strong typing skills with a high level of efficiency.

Pay: $57,410.61-$112,464.65 per year
