Position Overview
Horizon Academy Institute is seeking a reliable, organized, and professional Administrative Assistant to support the daily administrative operations of the Institute. Reporting directly to the Executive Director, the Administrative Assistant will handle critical secretarial, clerical, and organizational duties to ensure the smooth and efficient operation of school programs and activities.
The ideal candidate is detail-oriented, possesses strong communication and multitasking skills, and is able to work effectively in a fast-paced educational environment.
Start Date: September 1, 2026
Job Type: Part-time with potential to transition to Full-time
Number of Hours: 15–20 hours per week (while part-time)

Shift Availability: Day Shift (required)
Key Responsibilities
The job description includes but is not limited to:
● School Registration & Data Entry: Managing the registration process for new and returning students, requesting/uploading student files, and inputting, maintaining, and retrieving data (such as absentees, attendance, demographics, and reports) using school computer systems.
● Communication & Phone Calls: Making and answering phone calls, handling receptionist duties by greeting visitors and parents, providing information, and redirecting inquiries tactfully.
● Digital Office Organization: Organizing and maintaining our all-digital filing system (including correspondence, reports, student cumulative files, and confidential records) , and managing an adequate inventory of office supplies.
● Financial Tasks: Taking care of bills, processing payments, and assisting with basic financial administrative tasks as required.
● Daily Operations: Operating office equipment (computers, printers, telephone systems, photocopiers, etc.) and administering minor first aid to students (e.g., applying band-aids or dispensing ice packs) when necessary.
● Organizational Alignment: Remaining knowledgeable and supportive of school policies , conducting oneself appropriately in an educational environment serving children , and reporting directly to the Executive Director to meet organizational objectives.
Required Qualifications and Experience
The successful candidate must be capable of thriving in a fast-paced, multi-focused educational institution committed to Islamic teachings.
● Education: Grade 12 graduation (supplemented by typing 50 w.p.m.); Bachelor's Degree is preferred.
● Experience: Minimum of 2 years of progressive administration experience is required; 2 years of receptionist experience is preferred.
● Google Ecosystem Expertise: Must be highly comfortable and proficient with Google Drive and Google tools for managing files, documents, and spreadsheets.
● Language: Arabic proficiency is preferred but not required.
● Technical Skills: Intermediate to advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Google Editor Office, internet skills, and web content management.
● Core Competencies: Strong organizational skills, excellent time management to handle phone and staff interruptions, and a deep understanding of confidentiality and diplomacy.
● Disposition: A positive attitude , the ability to work independently or as a team , and the ability to remain calm and positive during stressful or demanding moments.
