ABOUT THE JOB
POSITION SUMMARY:
Customer service representatives assist the business to develop strong relationships with clients and customers. Representatives answer customer questions, help resolve problems, process refunds, and support the sales team.
REPORTING RELATIONSHIP & REPORTS: This position reports directly to the Director of Sales
ESSENTIAL FUNCTIONS:
- Performs additional duties related to the role as assigned by the manager.
- Accurate order entering on timely manner. Orders come via NAV, SPS, RETAIL LINKS email, and incoming /outgoing calls.
- Maintain all CSR documents on processes and Customer Nuances.
- Maintain all 3rd party portals with updates and customer profiles.
- Provide assistance to outside sales questions.
- Process consumer complaints or comments and follow up on pending credits/comments.
- As well as redirecting to appropriate department.
- Update all 3rd party portals with Holiday delivery schedule based on customer demands.
- Update rate cards / New accounts based on demand.
- Inform customers of any delayed shipments as per carrier notifications received and follow up with carrier and store to confirm order has been delivered.
- Track orders with carrier when customers call in questioning where their orders are.
- Regularly update backup information/checklist on accounts and comments fields in Sales.
- Coordinate with Logistics team with new Orders/ order changes.
- Email order/revised confirmations of certain accounts to Purchasing if there are high quantities of a product or a product has not been ordered for a while.
- Print performance report and check if all information is correct before leaving for the day.
- Email CSM if there are any updates or daily concerns.
- Fully cross trained to support team on vacation / sick days.
Administration:
- Respond to customer inquiries with a focus on high-quality service.
- Front desk responsibilities, including greeting visitors.
- Manage mail and courier logistics.
- Maintain filing systems and office supplies.
- General office upkeep.
WORKING CONDITIONS
- Office setting.
- Manual dexterity required to use desktop computer and peripheral.
- Ability to sit/stand for extended periods and perform computer-based tasks
Invoicing:
- Order entry: Intake and process customer orders in ERP, ensuring accuracy of all details (products, quantities, pricing, delivery timelines).
- Review Bill of Lading and generate invoices through ERP (Microsoft Navision).
- Process and transmit invoices via email or EDI.
- Generate weekly/monthly reports
- Other duties as assigned by Finance leadership.
EDUCATION & PREREQUISITES
- Post-secondary education in business or accounting preferred.
- Minimum 2 year of office experience.
- Strong multitasking and organizational skills.
- Excellent verbal and written communication.
- Critical thinking
- Proficiency in MS Office; ERP experience preferred.
- Experience with SPS Commerce and GS1 is an asset.

FOOD SAFETY & QUALITY MANAGEMENT
Working in compliance with FBI Food Safety and Quality Management system containing HACCP, GMPs, Food Safety policies and procedures that meet legal and regulatory requirements, customer requirements, audit requirements and industry best practices. Provided with the food safety training necessary to enable them to perform their tasks. All employees are required to co-operate with any authorized person to ensure that statutory and regulatory obligations are always in compliance.

Pay: $45,000.00-$60,000.00 per year
