Nursing Office Assistant – IVF Teams

Work Schedule: Monday – Friday
· 7.5 hours per day/37.5 hours per week
· Weekend coverage as needed.
Overview:
Supporting the Vision, Purpose, and Commitment of Olive Fertility Centre:
This position supports our Reproductive Endocrinology and Infertility (REI) specialists and their nursing teams. You will be responsible for delivering the highest level of customer service to Olive patients. This full-time position requires a motivated, energetic, self- directing individual able to work in a busy, professional, multi-tasking environment. You are required to provide exceptional patient centred care in a friendly, calm, personable manner and be able to work accurately and efficiently while interacting effectively and in a supportive manner to all Olive’s diverse patients.
Key Areas of Involvement Include:
Administration:
· Receive patient phone calls, voicemails, and emails, triaging to appropriate team members.
· Coordinate orientation and treatment pre-requisites and appointments.
· Schedule routine procedures as required, such as IUIs.
· Loading requisitions for patient work-up.
· Chart maintenance – ensuring completeness of required tests.
· Circulate patients to appointment rooms and preparing rooms for exams.
· Assist physicians at ultrasound appointments, diagnostic exams, and endometrial biopsies.
· Assist Nursing in cycle set up and chart prep.
· Holiday and sick coverage for other Nursing Office Assistants as needed.
· Document Management as needed to assist Administration overflow.
· Other administrative duties based on operational needs.
Procedures:
· HyCoSys – Includes setting up sterile tray, reading chart prior to going into the room, getting patient and doing urine pregnancy test, explaining procedure to patient and answering any questions, assisting physician as needed in procedure, cleaning up.
· Biopsies – includes setting up sterile trays, filling out biopsy paperwork (Igenomix and/or UTIMPRO), knowing signs to look for when patient vasovagal.
· Assisting Team Victoria & Surrey with admin tasks (EMD set ups, sending videos and consents, compliances, IUI booking & printing flowsheet, special authority & insurance forms).
· Comp med forms for cancer patients & insurance forms.
· Faxing prescriptions.
· Patient request letters.
· Chaperoning AFC’s, follicular scans, CPER scans, OB scans as needed.
· Creating medication calendars, ensuring flowsheet & Rx’s are created and knowing how to read and understand a cycle plan.
· Sending out of town OB scans requests.
· Obtaining patient results for same day blood work.
· Assisting with Pre-OPU Physicals – obtaining vital signs, bringing patients to change rooms, flipping over rooms.
Qualifications
Education, Training and Experience:
· Graduation from Grade 12 and completion of Medical Office Assistant certificate program
· Five years’ work experience in a specialist’s office scheduling multiple types of appointments
· Five years’ experience working collaboratively with other healthcare professionals within a medical facility.

· Proficient with computers and applicable software applications, including EMRs and MS Office.
· Able to lift and carry up to 25lbs.
