TITLE: Executive Assistant (Permanent)

DEPARTMENT: Managing Director’s Office

LOCATION: Mississauga

RESPONSIBILITIES :
  • Handling of highly confidential matters whilst communicating professionally and discretely i.e. correspondence, telephone inquiries, etc. for the Managing Director
  • Provides administrative support to the Managing Director including responsible for the overall organization of the agenda and support with administrative tasks
  • Prepares, coordinates and edits correspondence, communications, and other documents as requested;
  • Organize, plan and prepare all meetings, presentations, special events, and material required;
  • Responsible for managing and coordinating all Managing Director’ s travel and offsite meetings – acquiring – flights/hotel rooms/meeting space etc.;
  • Answers telephone calls in a positive, professional manner, filters, takes messages and relays without delay;
  • Manage customer complaints received by the Managing Director ’s Office – direct them to Customer Relations and follow up on the action;
  • Keep written minutes of the meetings and ensure the distribution of official minutes and manage follow-ups actionable;
  • Process Expense Reports;
  • Establish/maintain filing and follow-up system;
  • Track and submit Senior Management Attendance Report;
  • Performs other miscellaneous job-related duties as assigned
KNOWLEDGE AND SKILLS REQUIRED :
  • Excellent computer skills in Excel and Power Point
  • Exceptional communication skills, both written and verbal
  • Communicates in a professional, discrete and confidential manner
  • Superior organizational and analytical skills
  • The ability to work in a “fast-paced” and pressured environment with deadlines
  • Provides creative “out of the box” thinking
  • Ability to use own initiative and judgment
  • Strong interpersonal skills
  • Some travel required
