Overview
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. Prior experience in medical or dental offices, as well as familiarity with QuickBooks and Google Workspace, will be considered a plus. Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems, both electronic and paper-based
- Assist with appointment scheduling, calendar management, and patient or client support
- Handle administrative tasks such as proofreading documents, managing correspondence, and supporting bookkeeping activities using QuickBooks
- Support customer service efforts by addressing inquiries via phone or email and providing exceptional support
- Perform general clerical duties including photocopying, faxing, filing, and maintaining office supplies
- Ensure the office environment remains clean, organized, and welcoming for visitors and staff
Requirements
- Proven experience in an office setting; medical or dental office experience is highly desirable
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
- Experience with QuickBooks or bookkeeping is preferred
- Strong organizational skills with the ability to manage multiple tasks efficiently
- Excellent phone etiquette and customer service skills for front desk responsibilities
- Attention to detail for proofreading documents and data entry accuracy
- Ability to handle clerical tasks such as filing, typing, and supporting administrative functions effectively
- Prior experience working with multi-line phone systems and managing appointment schedules is a plus
- Demonstrated organizational skills and ability to prioritize tasks in a fast-paced environment
Pay: $20.75-$30.36 per hour
