Receptionist / Accounts Payable Administrator
Position Summary
We are seeking a professional and organized Receptionist / Accounts Payable Administrator to join our team. This position serves as the first point of contact for visitors, clients, and vendors while providing administrative support and assisting with accounts payable functions. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced office environment.
Key Responsibilities
Reception & Administrative Duties
- Greet and assist visitors, clients, and vendors in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls and emails.
- Manage incoming and outgoing mail, courier deliveries, and office correspondence.
- Maintain reception and common office areas to ensure a professional appearance.
- Schedule meetings, appointments, and conference room bookings.
- Order and maintain office supplies and coordinate with vendors as required.
- Assist with filing, document management, data entry, and other general administrative tasks.
- Support management and staff with various office projects and administrative requests.
Accounts Payable Responsibilities
- Receive, review, and process vendor invoices accurately and in a timely manner.
- Match invoices to purchase orders and supporting documentation.
- Prepare and process payment runs, including cheques, electronic transfers, and other payment methods.
- Reconcile vendor statements and investigate discrepancies.
- Communicate with vendors regarding invoices, payments, and account inquiries.
- Maintain organized accounts payable records and files.
- Assist with month-end closing activities and reporting.
- Ensure compliance with company policies and accounting procedures.
Qualifications
- High school diploma required; post-secondary education in Business Administration, Accounting, or a related field is an asset.
- Minimum 2 years of experience in a receptionist, administrative assistant, or accounts payable role.
- Experience with accounting software and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong customer service orientation and interpersonal skills.
- Ability to work independently and as part of a team.
Preferred Skills
- Experience with ERP or accounting systems.
- Knowledge of bookkeeping and basic accounting principles.
- Experience in a professional office, construction, manufacturing, or service industry environment is an asset.
