Summary
Reporting to the General Manager, the Office Administrator plays a key role in supporting the day-to-day administrative, operational, and financial functions of Construx Building Products. This position ensures efficient office operators while providing administrative support to management, production, accounting, and project teams. The Office Administrator maintains accurate records, coordinates communications, assists with project documentation, and supports payroll, safety, and construction administration processes.
Key Responsibilities
Office Administration & Operations
- Manage daily office operations and maintain an organized, professional office environment
- Answer and direct phone calls, emails, and visitor inquiries
- Prepare, format, and distribute correspondence, reports, contracts, and company documents
- Maintain electronic and hard-copy filing systems and ensure document accuracy and organization
- Order and maintain office supplies and coordinate equipment or office maintenance as required
- Schedule meetings, appointments, and company activities
Construction & Project Administration
- Support project managers and leadership with project-related administration
- Prepare and maintain project files, contracts, subcontracts, purchase orders, and correspondence
- Assist with bid documents, tender packages, and project tracking documentation
- Coordinate and track project paperwork, including change orders, RFIs, drawings, and closeout documentation
- Maintain accurate records related to project progress and administrative requirements
- Liaise with general contractors, suppliers, subcontractors, and clients regarding documentation and administrative matters
Accounting & Financial Support
- Assist with accounts payable and accounts receivable processes
- Prepare invoices, progress billing, and subcontractor payment documentation as required
- Track and organize vendor invoices, statements, and supporting documentation
- Support month-end administrative and accounting functions
- Assist with expense tracking, purchase order administration, and cost documentation
- Maintain confidential financial and company records
Payroll & Human Resources Support
- Collect, review, and submit employee timesheets and payroll-related documentation
- Support payroll administration and employee record maintenance
- Assist with employee onboarding and orientation paperwork
- Maintain personnel files and administrative HR documentation
- Support recruitment coordination and employee communication when required
Safety & COR Administration
- Assist with COR and workplace safety administration requirements
- Maintain safety files, training records, incident documentation, and employee certifications
- Coordinate and track orientations, safety meetings, and required compliance documentation
- Support workplace inspections, audits, and regulatory documentation requirements
- Ensure accurate and confidential maintenance of safety and employee records
Communication & Coordination
- Serve as a professional point of contact for employees, customers, suppliers, and contractors
- Coordinate communication between office, plant, and field operations
- Follow up on outstanding administrative tasks and deadlines
- Support leadership with special projects and operational initiatives as required
Qualifications & Skills
- Certificate or diploma in Office Administration, Business Administration, or related field preferred
- Minimum 2–5 years of administrative experience, preferably in construction, manufacturing, or industrial environments
- Strong knowledge of Microsoft Office, including Word, Excel, Outlook, and document management systems
- Experience with accounting and payroll software considered an asset
- Excellent organization, communication, and multitasking skills
- Strong attention to detail and ability to maintain confidentiality
- Ability to work independently, prioritize workload, and meet deadlines in a fast-paced environment
- Knowledge of construction documentation and safety administration considered an asset
