Job Summary
A full-time Medical Office Assistant is required in a multi-disciplinary medical clinic in the centre of Vancouver with Primary Care Physicians and Specialists.
Please provide details of your relevant work experience and language skills in your resume and/or cover letter. An MOA diploma is not required, but would be an asset. Working experience as an MOA, as well as experience with an electronic medical record (particularly CHR, Wolf EMR), advanced computer skills and knowledge of a second language would be an asset (in particular Cantonese and/or Mandarin, due to the patient population).
You would be responsible for performing a variety of medical secretarial duties to physicians and other members of the clinic as assigned, including tasks such as: scheduling patient appointments, and registering patients on arrival, answering phonecalls, opening and closing the clinic, setting up and cleaning medical equipment, and managing referrals and hospital bookings.
We are looking for a friendly, motivated and organized individual to complement our team of MOAs and physicians. We are looking for an individual who can start as soon as possible.
Responsibilities
- Greet patients and visitors professionally at the front desk, ensuring a welcoming environment
- Manage multi-line phone systems to schedule appointments, answer inquiries, and coordinate patient flow
- Maintain and update electronic medical records using systems such as CHR and Wolf EMR with accuracy and confidentiality
- Verify patient insurance information and assist with billing or administrative documentation as needed
- Assist with appointment scheduling, cancellations, and follow-up communications
- Prepare and organize patient charts, forms, and other administrative documents
- Support clinical staff by handling administrative duties to facilitate efficient patient care delivery
- Ensure the cleanliness and organization of the front office area
- Willing to learn and work in a group setting
- Ability to work in high volume, a fast-paced environment. Detail-oriented
- Ability to resolve problems and conflicts
Experience
- Prior experience as a Medical Office Assistant is preferred
- Familiarity with electronic medical records systems such as CHR and Wolf EMR is highly desirable
- Strong knowledge of medical terminology and healthcare office procedures
- Proven experience managing multi-line phone systems and providing excellent customer service in a healthcare setting
- Office experience including administrative support, data entry, and appointment scheduling is essential
- Previous medical office experience will be considered an asset
