Position Overview
We are seeking an experienced Medical Office Assistant (MOA) to support our Calgary clinic and field operations. This role focuses on care coordination, client experience, and operational excellence across virtual, in-clinic, and onsite clinical settings.
Key Responsibilities
Client Care & Coordination
- Coordinate patient journey from intake through ongoing care
- Manage scheduling across virtual, clinic, and field environments
- Complete onboarding, consents, and EMR documentation
- Coordinate referrals, diagnostics, and specialist care
- Liaise with external providers and track follow-ups
- Maintain high-touch client communication and experience
Medical & Clinic Operations
- Support daily clinic workflows, scheduling, and communications
- Maintain accurate EMR records
- Assist providers with coordination and admin support
- Track basic metrics and support reporting
- Manage supplies and field equipment
- Support continuous process improvement
Field Operations
- Travel to field sites to support onsite clinic delivery
- Assist with mobile clinic setup and coordination
- Support documentation, scheduling, and client flow onsite
- Act as liaison between clients, providers, and stakeholders Travel required (~monthly or bi-monthly based on programming demands)
- Locations include Northern Alberta and British Columbia
Qualifications
- Minimum 5 years of experience as a Medical Office Assistant
- Experience in private healthcare, corporate health, or concierge-style services is an asset
- Proficiency in Microsoft Excel, Word, and PowerPoint required
- Experience with TELUS Health CHR (CHR Connect) strongly preferred
- Strong organizational and time management skills with ability to manage multiple priorities
- Excellent communication and interpersonal skills
- High level of professionalism and discretion
- Ability to work both independently and collaboratively within a team
- Comfortable working in both clinic and remote/field environments
- Valid Alberta driver’s license required
