The Role
As the Office Experience Manager (On-Site), you will combine high-impact executive support with ownership of the overall workplace experience and operational excellence. This role partners closely with senior leaders to enable executive effectiveness, while also designing and delivering consistent, engaging employee experience. In addition, you will provide targeted administrative and logistical support to People Operations, contributing to key initiatives in a sustainable, well-defined capacity. This role is on-site at our Toronto Office, Monday to Friday, reporting to our People Operations Director.
What you’ll do:
Office Experience & Workplace Operations (70%)
- Own day‑to‑day office operations of our Toronto Office, ensuring the office is welcoming, functional, organized, and guest‑ready.
- Act as primary liaison with building management, facilities, cleaning services, maintenance vendors, and service providers.
- Responsible for the coordination, planning and execution of weekly employee events.
- Manage office and kitchen operations, including supplies, inventory, coffee programs, shipping/receiving, and general workplace logistics.
- Support onboarding logistics and first‑day office experiences for new employees.
- Ensure workplace health, safety, and compliance standards are consistently met.
Executive Assistant Support (30%)
- Provide proactive, high‑level administrative support to executive leaders, acting as a trusted partner.
- Manage complex calendars, scheduling, and meeting coordination, including prioritization and conflict resolution.
- Coordinate executive travel, itineraries, accommodations, and related logistics.
- Process travel and expense related items.
What you have:
- 3-5 years of experience in executive administrative support, office management, or workplace experience roles.
- Demonstrated ability to balance competing priorities while protecting executive support time.
- Strong organizational, planning, and problem‑solving skills.
- High degree of professionalism, discretion, and attention to detail.
- Excellent interpersonal and communication skills.
- Ability to work independently and exercise sound judgment in a fast‑paced environment.
