Part-time position to start (20–25 hours/week) $28–$38/hour depending on experience
Western Meridian Construction Ltd. is seeking a reliable, organized, and detail-oriented Office Manager / Administrative Bookkeeper Billingual (English,French)to support our growing general construction company in Calgary.
This position is ideal for someone who can help keep the company professionally organized, maintain accurate records, support bookkeeping operations, manage follow-ups, and ensure important project and financial documentation remains properly tracked and protected.
About Us
WMC provides residential and commercial construction services including renovations, roofing, siding, exterior work, interior improvements, repairs, subcontractor coordination, project documentation, proposals, and contracts.
Responsibilities
- Manage customer calls, emails, quote requests, and appointment scheduling
- Organize customer files, project records, contracts, receipts, proposals, invoices, and company documents
- Track invoices, supplier bills, deposits, balances, subcontractor paperwork, and project-related records
- Support bookkeeping tasks including reconciliations, GST preparation, expense tracking, and monthly reporting
- Prepare organized records for the company accountant/CPA
- Maintain and update internal office systems and project tracking
- Coordinate follow-ups with customers, suppliers, subcontractors, and WMC Ltd. Team
- Track important business documents including insurance, WCB, supplier accounts, licences, and renewals
- Assist with contract proposal preparation, document organization
- Improve and maintain organized administrative systems as the company grows
Qualifications
- Strong organizational skills and attention to detail
- Experience with bookkeeping, accounting support, or office administration
- Comfortable working with invoices, receipts, reconciliations, spreadsheets, PDFs, and online systems
- Professional communication skills with customers, suppliers, and subcontractors
- Ability to manage confidential records and financial information responsibly
- Self-motivated, dependable, and capable of following systems carefully
Preferred Assets
- Experience in construction, trades, renovation, or service industries
- Experience with QuickBooks, Sage, or similar accounting software
- Knowledge of payroll, GST filing, accounts payable, or accounts receivable. Familiarity with contracts, change orders, supplier accounts, or project coordination
- Effective Interpersonal Communication skills and Presentation skills
