Job Description
MagGas is seeking a highly organized and detail-oriented individual to join our team as a CPAP Scheduling Coordinator. This role is responsible for booking CPAP appointments across all MagGas Medical locations, entering patient data into Salesforce, and coordinating patient bookings through Calendly or other scheduling tools. The CPAP Scheduling Coordinator will play a key role in ensuring smooth patient scheduling and optimizing clinic operations.
Roles and Responsibilities
● Manage and schedule CPAP appointments across all MagGas locations, ensuring timely coordination.
● Enter and maintain patient data accurately in Salesforce, ensuring compliance with clinic procedures.
● Communicate with patients via phone, email, and text to book and confirm CPAP setup appointments.
● Coordinate with clinicians and retail locations to ensure availability and seamless scheduling.
● Track patient follow-ups and rescheduling needs to optimize patient care.
● Utilize Calendly and other scheduling platforms to efficiently manage patient appointments.
● Assist with insurance claims and documentation submission, if required.
● Provide administrative support to the clinical team and assist with patient inquiries.
● Ensure timely responses to patient appointment requests and inquiries.
● Maintain ongoing communication with healthcare professionals regarding patient scheduling.
● Adhere to client service levels and deadlines for booking appointments.
● Other administrative duties, as assigned.
Qualifications / Requirements
● 2-3+ years of scheduling or medical office administration experience preferred.
● Experience with Salesforce or a similar CRM is an asset.
● Proficiency in scheduling software such as Calendly, Google Calendar, or similar tools.
● Excellent customer service, communication, and interpersonal skills with a passion for patient care.
● Ability to work effectively with Google Business Suite (Gmail, Drive, Calendar, Meet).
● Post-secondary education in a relevant field or a combination of experience and training.
● Strong organizational skills and attention to detail.
● Ability to multitask and thrive in a fast-paced environment.
● A team player who works well with others.
● Commitment to patient confidentiality and professionalism.
● Strong problem-solving skills and work ethics.
