A well-established, family-owned manufacturing organization with over a century of experience is seeking a Senior Payroll Administrator to join its team. With operations across Canada, the United States, Mexico, and Honduras, the organization is focused on innovation, quality, and continuous improvement.
This role is ideal for a detail-oriented and analytical payroll professional who thrives in a collaborative, multi-entity environment and is comfortable managing complex payroll processes across multiple jurisdictions.
Position Overview
Reporting to the Corporate Controller, the Senior Payroll Administrator is responsible for end-to-end payroll processing in Canada while supporting payroll operations across international locations. This role plays a key part in ensuring compliance, accuracy, reporting, and employee support related to payroll and benefits.
Key Responsibilities
- Process payroll accurately and on schedule in compliance with Canadian regulations
- Administer bonus and commission structures (monthly, semi-annual, annual)
- Prepare and file statutory remittances (e.g., WSIB/WCB, EHT, CPP, OAS)
- Manage payroll-related journal entries and reconciliations, including vacation accruals
- Maintain and validate employee data including new hires, terminations, leaves, and compensation changes
- Administer benefit programs including RRSP/DPSP and paid time off
- Conduct regular audits and support internal and external payroll audits
- Respond to employee payroll and benefits inquiries in collaboration with HR
- Prepare and submit ROEs, T4s, and W2s across Canadian and U.S. payrolls
- Oversee payroll processes for Canada and the U.S., and coordinate with external partners for Mexico and Honduras
- Support payroll setup in new provinces or U.S. states as required
- Review and approve third-party payroll submissions and invoicing
- Process benefit-related payments across all locations
- Prepare payroll tax filings and remittances in collaboration with Finance
- Generate payroll reports and support semi-annual reporting initiatives
- Stay current with payroll legislation across multiple jurisdictions
- Support government reporting requirements and surveys
- Reconcile payroll to financial records and bank statements
- Provide cross-functional support to Finance and HR teams as needed
- Participate in special projects and process improvements
Qualifications
- Minimum 5 years of payroll experience in a similar role, ideally within manufacturing or distribution
- Payroll certification required
- Post-secondary education in Accounting, Finance, Business, or a related field
- Strong knowledge of Canadian payroll regulations; U.S. payroll experience required
- Experience with Mexico payroll is considered an asset
- Proficiency with payroll and ERP systems (e.g., ADP, NetSuite)
- Advanced Excel and reporting skills
- High attention to detail and accuracy
- Strong communication and collaboration abilities
- Experience mentoring or supporting junior team members is an asset
