Who We Are
Müller Expo is a fast-growing trade show and event services company seeking an experienced and highly organized Office Manager to oversee the daily operations of our group of companies. With approximately 25 employees and continued growth planned, we are looking for a strong leader who can support management, maintain accountability across departments, and help build scalable processes as our organization expands.
Job Summary
The ideal candidate will have several years of office management experience, strong leadership skills, and experience managing employees, hiring, reporting, and administrative operations. Experience in manufacturing, production, construction, logistics, or a fast-paced project-based environment is considered a strong asset.
This position will work directly with senior management and ownership, serving as a key member of the leadership team responsible for employee management, office administration, reporting, scheduling, and supporting the overall success of the organization.
Key ResponsibilitiesOffice & Administrative Management
- Oversee all day-to-day office operations across multiple companies.
- Ensure efficient administrative processes and maintain a professional work environment.
- Develop and implement office procedures, policies, and systems to improve productivity and accountability.
- Manage office supplies, equipment, vendors, and facility requirements.
- Coordinate travel arrangements, accommodations, and transportation for employees as required.
- Support project teams with administrative and scheduling needs.
Employee & Team Management
- Manage and support approximately 25 employees across multiple departments.
- Monitor employee attendance, scheduling, vacation requests, and time-off approvals.
- Conduct employee onboarding and orientation programs.
- Coordinate and assist with recruitment, hiring, interviewing, and employee retention initiatives.
- Schedule and conduct employee probationary reviews, 3-month performance reviews, annual reviews, and performance improvement discussions.
- Assist department managers with employee coaching, performance management, and workplace issues.
- Promote a positive, productive, and professional company culture.
Management & Leadership Support
- Work closely with senior management and ownership on company operations and strategic initiatives.
- Prepare weekly, monthly, and quarterly management reports.
- Provide ownership with updates on employee performance, operational issues, company initiatives, and areas requiring attention.
- Assist in developing and implementing organizational goals and operational improvements.
- Support managers across departments and ensure accountability for assigned tasks and objectives.
- Help coordinate communication between departments to ensure projects remain on track.
Scheduling & Project Support
- Assist with company-wide scheduling and resource planning.
- Coordinate management meetings, staff meetings, and project review meetings.
- Help ensure projects have the necessary administrative support to meet deadlines.
- Track key deliverables and follow up with department managers as required.
HR & Compliance Administration
- Maintain employee records and confidential personnel files.
- Coordinate payroll information and employee benefits administration.
- Assist with workplace policies, health and safety documentation, and compliance requirements.
- Support employee development and training initiatives.
Financial & Administrative Support
- Assist with invoicing, expense tracking, and administrative financial reporting.
- Support bookkeeping and accounting functions as required.
- Monitor office budgets and administrative expenses.
- Work with management to improve operational efficiency and cost controls.
Qualifications
- Minimum 5 years of experience in Office Management, Operations Management, Administrative Management, or a similar leadership role.
- Experience managing employees and supporting multiple departments.
- Proven experience with hiring, employee reviews, performance management, and workplace administration.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and business management software.
- Experience with QuickBooks, payroll systems, and basic financial administration is an asset.
- Experience in manufacturing, production, construction, logistics, or project-based industries is preferred.
- Ability to work independently while managing multiple priorities and deadlines.
Pay: From $65,000.00 per year
