Job Duties: We are seeking an experienced, professional, and service-focused Property Manager to oversee a portfolio of seven residential and mixed-use rental properties consisting of several hundred rental units throughout the Vancouver, BC area. This role is ideal for someone who enjoys building strong tenant relationships, maintaining high property standards, coordinating contractors and trades, and ensuring efficient day-to-day operations. The successful candidate will be organized, responsive, and comfortable balancing tenant service, building operations, financial oversight, compliance, staff supervision, and vendor management across a busy residential portfolio. Key responsibilities include:
· Oversee day-to-day operations for assigned residential properties, ensuring buildings are safe, clean, well-maintained, and professionally managed.
· Conduct and oversee showings, application processing, tenant screening, and tenant onboarding.
· Assist in preparing lease documentation, including Rental Agreements, Condition Inspection Reports, PAD forms, disclosure forms, and related tenancy documentation.
· Handle tenant notices, including annual rent increases, notices to end tenancy, notices of entry, and other required communications.
· Coordinate rent collection, security deposits, tenant documentation, lease renewals, and vacancy management.
· Coordinate suite turnovers between tenancies, including assessing unit condition, determining required repairs and upgrades, coordinating contractors and trades, monitoring turnover schedules, and ensuring units are prepared for timely re-rental.
· Authorize and coordinate the purchase of appliances, maintenance supplies, building materials, and other property-related items in accordance with company policies and approved budgets.
· Maintain and respond to tenant communications in person, by phone, and by email regarding complaints, inquiries, service requests, and tenancy matters.
· Schedule, conduct, and oversee move-in, move-out, annual, and compliance inspections.
· Supervise and support caretakers, maintenance personnel, contractors, and third-party service providers.
· Conduct regular property inspections and follow up on maintenance, safety, cleanliness, building systems, and operational issues.
· Coordinate repairs, preventative maintenance, capital improvement projects, renovations, and contractor access.
· Manage vendor relationships, obtain quotations, monitor work quality, and ensure service agreements are fulfilled.
· Work closely with accounting to support invoicing, rent administration, budgeting, reporting, and record accuracy.
· Maintain accurate records, property files, inspection reports, tenant communications, and compliance documentation.
· Ensure common areas, amenities, grounds, and building facilities are maintained to company standards through regular inspections and coordination of cleaning and maintenance services.
· Notify head office regarding tenancy changes, upcoming vacancies, and operational concerns.
· Respond to urgent issues and participate in on-call coverage outside regular business hours when required.
· Ensure compliance with applicable legislation, including the BC Residential Tenancy Act, municipal bylaws, workplace safety requirements, fire safety requirements, and company policies.
Position Requirements:
· Completion of a training course in residential property management.
· Minimum 3 years of property management, residential operations, and leasing experience, including the following:
· Strong working knowledge of residential property operations and tenant relations in BC.
· Deep knowledge of the BC Residential Tenancy Act, Residential Tenancy Branch policies, procedures, and forms.
· Experience with budgeting, rent collection, arrears management, reporting, capital projects, and vendor coordination.
· Proficiency with Microsoft Office.
· Excellent written and verbal communication skills in English.
· Strong organization, follow-through, judgment, and problem-solving ability.
· Must be capable of managing a large residential portfolio consisting of multiple buildings and hundreds of rental units.
· Experience maintaining or overseeing outdoor pool operations.
· Skilled at showing rental units and conducting initial screening of prospective tenants.
· Ability to respond promptly to urgent situations and participate in on-call coverage as required.
· Experience supervising staff, contractors, and service providers.
· Strong working knowledge of building operations, maintenance coordination, fire safety requirements, and residential tenancy administration.
· Ability to work effectively with a diverse tenant population and handle sensitive situations professionally.
