We are seeking a detail-oriented and organized Maintenance Coordinator to support the day-to-day operations of our Maintenance department. This role ensures smooth and efficient operations by managing administrative tasks, coordinating maintenance activities, and supporting both staff and management.
This is a hands-on administrative role in a fast-paced environment where multitasking, meeting deadlines, and attention to detail are critical. Occasional overtime may be required, and travel is infrequent and local.
Employment Type: Full-Time, Monday-Friday, 7:30 a.m.-4:30 p.m.
Who You'll Work With:
Operations Manager: Daily communication, direction, and approvals.
Maintenance Supervisor: Daily coordination, guidance, and approvals.
Maintenance Staff: Support with administrative tasks and documentation.
Vendors & Service Providers: Daily communication for orders and updates.
Other Employees: As needed for operational communication and support.

What you'll do
Responsibilities
Administrative & Coordination Duties:
Maintain and update asset databases, service work orders, and inspection records.
Manage physical and digital filing systems for maintenance documentation.
Assist with preparation of reports, purchase orders, and budgeting activities.
Support purchasing of parts and supplies, and communicate with vendors and service providers via email and telephone.
Coordinate emergency repairs to minimize production impact.
Monitor maintenance expenditures and assist in budget development.
Generate reports on equipment performance, downtime, and maintenance KPIs.
Schedule inspections and diagnostics for cranes, forklifts, trailers, welding systems, and heavy-duty fabrication equipment.
Team & Workplace Contributions:
Participate in monthly toolbox meetings and safety initiatives.
Support efforts to maintain a respectful and safe workplace.
Contribute to continuous improvement and quality assurance initiatives.
What you'll need
Qualifications
Education: High School Diploma or equivalent; Office or Business Administration coursework is an asset.
Experience: Previous administrative or maintenance support experience preferred.
Certifications: Valid NS driver's license; WHMIS and Occupational Health & Safety training are considered an asset.
Skills & Competencies:
Strong verbal and written communication skills.
Excellent organizational, multitasking, and time-management abilities.
High attention to detail and accuracy.
Ability to collaborate effectively across teams and departments.
Familiarity with Microsoft Office, Outlook, Excel, Adobe; experience with Tekla PowerFab and Hilti ON!Track is an asset.
Basic understanding of maintenance and repair processes is a plus.
Working Conditions & Physical Requirements:
Office-based within a maintenance shop environment (loud, with temperature fluctuations).
Use of Personal Protective Equipment (PPE) may be required in certain areas.
Must be able to lift up to 50 lbs unassisted and sit or stand for extended periods.
Frequent movement, reaching, kneeling, climbing stairs, bending, twisting, and repetitive motions required.
Intense visual concentration for computer-based tasks.
Vehicle required as public transit is not available to the location.
Training & Development
Expected on-the-job training period: 3-6 months.
