Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office and Google Workspace tools to maintain up-to-date records
- Assist with filing, document organization, and record keeping to ensure easy retrieval and compliance
- Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and basic financial documentation
- Provide excellent customer service by responding promptly to inquiries via phone or email and supporting clients or patients as needed
- Coordinate appointments, schedule meetings, and maintain calendars for office staff or medical/dental professionals
- Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory
Experience
- Proven clerical or administrative experience in an office setting, ideally within medical or dental environments
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with keen attention to detail in data entry and document management
- Demonstrated ability to communicate effectively via phone etiquette and provide outstanding customer support
- Familiarity with front desk operations, multi-line phone systems, filing systems, and basic office equipment
- Prior experience in medical or dental offices is a plus, including knowledge of medical/dental office procedures and patient confidentiality standards
