Position Summary
The Logistics Coordinator is responsible for coordinating, tracking, and managing the movement of goods and materials both domestically and internationally. This role ensures accurate inventory control, shipping documentation, freight scheduling, and records management while maintaining efficient warehouse and shop stock operations. The Logistics Coordinator also manages damaged freight claims, monitors shipment status, and supports project teams through job box creation and inventory management.
Key Responsibilities
Shipping & Receiving
- Receive incoming freight, packages, and courier deliveries.
- Inspect shipments for damage, discrepancies, and compliance with purchase orders and packing slips.
- Confirm and record inventory received into inventory management systems.
- Coordinate outbound shipments with carriers, freight forwarders, and couriers.
- Arrange domestic and international shipping, ensuring cost-effective and timely delivery.
- Track shipments and provide status updates to internal departments.
- Monitor delivery schedules and resolve shipping delays or transportation issues.
- Maintain a clean, organized, and safe warehouse environment and inventory storage area.
Documentation & Records Management
- Prepare and maintain shipping documentation including:
- Bills of Lading
- Commercial Invoices
- Packing Lists
- Customs Documentation
- Export/Import Documentation
- Courier and Freight Waybills
- Maintain accurate shipping, receiving, inventory, and freight records.
- Ensure all documentation complies with company policies and applicable regulations.
- Organize and archive logistics-related records for audit and reporting purposes.
Inventory Management
- Verify inventory quantities and reconcile discrepancies.
- Monitor shop stock levels and coordinate replenishment activities.
- Maintain inventory accuracy through regular cycle counts and stock audits.
- Track inventory movement and provide inventory reports as required.
- Ensure materials are properly stored, identified, and accessible.
Freight Claims & Issue Resolution
- Investigate damaged, lost, or delayed shipments.
- Initiate and manage freight claims with carriers and suppliers.
- Gather supporting documentation and monitor claim status through resolution.
- Coordinate corrective actions to minimize future shipping issues.
Job Box Management
- Create and prepare job boxes/kits for projects and field operations.
- Ensure all required materials, tools, and documentation are included.
- Track job box inventory and manage returns, replenishment, and reconciliation.
- Coordinate job box shipping and logistics requirements.
Coordination & Communication
- Liaise with suppliers, vendors, freight carriers, customs brokers, and internal departments.
- Support project teams by coordinating logistics requirements and material deliveries.
- Provide regular updates regarding shipment status, inventory levels, and logistics activities.
- Identify opportunities to improve logistics processes, efficiency, and cost control.
Qualifications
- Diploma or certificate in Logistics, Supply Chain Management, Business Administration, or related field preferred.
- Minimum 2–5 years of experience in logistics, shipping/receiving, inventory control, or warehouse coordination.
- Valid forklift certification or the ability to obtain certification.
- Experience safely operating forklifts and other material handling equipment is preferred.
- Experience with domestic and international shipping procedures and documentation.
- Familiarity with customs, import/export processes, and freight coordination.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with ERP, inventory, or warehouse management systems is an asset.

Working Conditions
- Combination of office and warehouse/shop environment.
- Regular lifting, handling, and inspection of packages and materials may be required.
- Occasional overtime may be necessary to meet operational requirements.
Physical Requirements
- Ability to safely lift, carry, push, and pull materials weighing up to 60 lbs on a regular basis.
- Ability to stand, walk, bend, reach, and perform physical tasks throughout the workday.
- Ability to load, unload, and organize materials in warehouse, shop, and storage environments.
- Ability to safely operate forklifts, pallet jacks, and other material handling equipment.
- Comfortable working in both office and warehouse/shop environments.
