Summary
Richmond Property Management is looking for an organized, hands-on Property Operations Coordinator to support our field operations across the portfolio. This is a great opportunity for someone early in their property management or facilities career who wants to get out from behind a desk, learn the business on site, and grow with the company.
Working under the direction of our operations team, you'll help carry out property inspections, assist with maintenance and contractor coordination, monitor property conditions, and support improvement projects. This position reports to Head Office Management. It does not involve owner relations, leasing, or overall portfolio management — the focus is on day-to-day property operations and field support.
What You'll Do
Property Inspections
- Assist with routine and scheduled inspections of managed properties.
- Help identify maintenance deficiencies, safety concerns, and compliance issues.
- Prepare inspection notes and reports with photographs.
- Monitor the condition of common areas, building systems, and exterior grounds.
Site Visits & Support
- Carry out regular site visits to check on maintenance and repair activities.
- Help confirm that contractors and service providers complete work to company standards.
- Check completed work and flag quality concerns to the operations team.
- Report on-site issues and help coordinate follow-up as needed.
Project Support
- Support the planning and coordination of property improvement projects.
- Help track project schedules and contractor progress.
- Coordinate property access for contractors and vendors.
- Keep project documentation organized and up to date.
Contractor Coordination
- Act as a point of contact for contractors, trades, and service providers on site.
- Request and collect quotations when asked.
- Help confirm contractor insurance and safety documentation is on file.
- Share feedback on contractor work and service quality with the operations team.
Maintenance Coordination & Records
- Help identify preventative maintenance needs and follow up on outstanding items.
- Support consistent maintenance standards across the portfolio.
- Maintain accurate records of site visits, deficiencies, and completed work.
- Flag property improvement needs to the operations team.
What You Bring
- Some experience or education in property management, construction, facilities, or a related field is an asset — but we're open to motivated candidates looking to start their career.
- An interest in building systems and how properties are maintained.
- Comfort reading basic quotes, work orders, and instructions (or a willingness to learn).
- Strong organizational skills and reliable communication.
- A valid driver's license and the ability to travel between properties.
- Basic comfort with Microsoft Office; experience with property management software is a plus.
Pay: $40,000.00-$45,000.00 per year
