Overview:
As Executive Assistant to the CEO, you’ll serve as a strategic point of coordination for all incoming priorities, ensuring the CEO’s time, focus, and attention are directed where they create the greatest impact. You’ll manage communications, workflows, and operational details with precision and discretion, enabling executive leadership to stay centered on high‑value initiatives. This role is ideal for a proactive, tech‑savvy professional who thrives in a fast‑paced consulting environment and understands the nuances of supporting senior leadership.

About this Position:
- This position is scheduled for 30–40 hours per week, Monday through Friday, with typical working hours from 9:00 am to 6:00 pm (PST). Occasional overtime or weekend work may be required, with advance notice provided.
- This position can be based out of greater Vancouver. Please note travel may be required within Canada and the USA.

Key Responsibilities:
- Strategic Calendar & Meeting Management: Coordinate the CEO’s schedule across clients, internal teams, and strategic partners, ensuring alignment with business priorities.
- Executive Communications: Draft and manage correspondence, reports, and presentations with clarity and professionalism; liaise with clients and stakeholders on behalf of the CEO.
- Project & Initiative Support: Track deliverables and timelines for CEO-led initiatives, including HRIS implementations, enterprise change projects, and staff augmentation engagements.
- Travel & Logistics: Organize travel, accommodations, and event logistics with attention to detail and contingency planning.
- Confidential Liaison: Serve as a trusted point of contact for board members, clients, and internal teams; handle sensitive information with discretion.
- Operational Coordination: Support internal operations, including documentation, reporting, and coordination with HR, finance, and project teams.
Proviso
- This position may provide occasional personal support to the CEO’s family, including ad‑hoc driving, errands, and logistical assistance as needed. The successful applicant will require a class 5 BC Driver's Licence and a clean drivers' abstract.
Qualifications:
- 5+ years of experience supporting C-suite executives, ideally in consulting, technology, or professional services.
- Strong written and verbal communication skills, with a polished and professional tone.
- High proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Zoom, Slack).
- Experience managing calendars through Outlook.
- Experience managing accounts payables and receivables, with ideal candidates having QuickBooks experience.
- Experience managing confidential information and high-stakes communications.
- Familiarity with HRIS, payroll systems, or enterprise software is an asset.
- Post-secondary education in Business Administration or related field preferred.
- Valid Class 5 BC Drivers' Licence and clean drivers' abstract.
- Successful applicants may require a criminal record check.
