About the Opportunity
We are a well-established, growth-oriented company in the construction and earthworks industry, operating throughout the Lower Mainland of BC. This confidential search is being conducted on behalf of our client. The successful candidate will join a hands-on team where their contributions will be directly visible and valued.
Role Overview
Reporting directly to the Controller, the Accounting Administrator is a full-time, in-office role with core hours of 8:00 AM to 4:00 PM, Monday to Friday, with some flexibility on start time. This position is central to the day-to-day financial operations of the business and touches accounts payable, accounts receivable, payroll, and general office administration.
Accounts Payable
- Receive, enter, and code invoices with job details and applicable GL coding
- Match invoices to price lists and supporting documentation
- Process payments by cheque, EFT, credit card, and e-transfer
- Reconcile vendor statements on a regular basis
- Reconcile internal credit card statements
- Participate in bi-monthly AP review with management
- Verify WorkSafe BC qualifications for subcontractors
- Manage petty cash and perform reconciliations
Accounts Receivable
- Receive and enter cheque payments
- Review bank activity and enter EFT, e-transfer, and credit card receipts
- Send vendor statements
- Set up new clients and jobs in relevant software systems
- Follow up with AR clients on overdue invoices
Payroll
- Process bi-weekly payroll for approximately 40 employees
- Review timesheets for proper job allocations and approvals
- Manage new employee setups, terminations, and Records of Employment
- Process year-end T4s
Administrative Support
- Assist with coordinating company social events
- Manage company social media accounts
- Order and maintain inventory of branded company merchandise
- Manage cell phones and related accounts for staff
- File AR and AP documentation
- Apply for permits as required
What You Bring
- 3 to 5 years of experience in a similar accounting or bookkeeping role
- Background in the construction industry is a strong asset
- Experience with Sage 100 Contractor or similar Accounting software for construction
- High attention to detail with strong time management skills
- Proactive mindset with a drive to identify process improvements and cost-saving opportunities
- Strong interpersonal and communication skills
