We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. Responsibilities
- Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Schedule appointments, coordinate meetings, and organize files through efficient filing systems
- Provide customer support via phone and email, addressing inquiries with proper phone etiquette and professionalism
- Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
- Proofread documents for accuracy and clarity before distribution
- Support medical or dental office operations by managing patient records, appointment scheduling, and insurance documentation (if applicable)
- Maintain organization of office supplies and ensure the workspace is tidy and functional
Qualifications
- Proven clerical or administrative experience in an office setting
- Strong proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems confidently
- Attention to detail in proofreading and document management
- Prior experience in medical or dental offices is a plus but not required; relevant experience in customer support or front desk roles is valued
- Strong computer skills including familiarity with office equipment and basic troubleshooting capabilities
