Part-Time HVAC Office Administrato – Greater Toronto Area - Part-Time (with potential for Full-Time)
About Us
Team Temperature is a growing HVAC company specializing in residential, commercial, and industrial heating, cooling, and refrigeration services across Ontario. We are looking for a reliable, organized, and motivated Office Administrator to help support our daily operations and keep the office running efficiently.
This position is ideal for someone with previous HVAC office experience who understands scheduling technicians, handling customer communication, billing, and coordinating parts and suppliers.
Responsibilities
- Schedule and coordinate service calls, installations, and technician dispatching
- Prepare invoices, estimates, and customer follow-ups
- Order HVAC equipment, materials, and parts from suppliers
- Communicate with customers, technicians, and vendors by phone and email
- Manage daily administrative and office operations
- Maintain organized digital records, job files, and documentation
- Assist with accounts receivable, billing, and light bookkeeping
- Track job progress and ensure work orders are updated accurately
- Support management with reporting, task coordination, and general office support
Requirements
- Minimum 2–5 years experience in HVAC office administration
- Strong understanding of HVAC terminology and workflow
- Experience with invoicing and dispatch software such as:
- Fieldpulse
- Invoice2GO
- Microsoft Office (Word, Excel, Outlook)
- Excellent organizational and multitasking skills
- Strong communication and customer service abilities
- Ability to work independently and take initiative
- Comfortable working in a fast-paced environment
Preferred Qualifications
- Experience coordinating HVAC service technicians
- Knowledge of basic accounting, collections, and payroll support
- Experience dealing with HVAC suppliers and part ordering
- Familiarity with service scheduling and dispatching systems
