Fleet Service Advisor – Heavy Duty Shop Operations

South West Bulk Express Inc. is growing, and our Calgary maintenance operation plays a major role in keeping our fleet moving across Western Canada and the Northern United States.
We are not looking for someone to simply sit at a desk and enter information. We are looking for a highly organized, hands-on Fleet Service Advisor who can help control the daily flow of our maintenance shop, create and manage work orders, communicate with drivers, support technicians, and make sure repairs are followed through from start to finish.
This role is ideal for someone with experience as a service advisor, service writer, shop coordinator, parts advisor, fleet coordinator, or someone who understands how a busy truck and trailer repair shop should run.
The Challenge
In a busy fleet operation, small communication gaps create big problems.
A truck comes in, a driver reports an issue, a technician starts a job, parts are needed, dispatch needs updates, and the work order needs to be tracked properly. If nobody owns that flow, the shop slows down and trucks stay parked longer than they should.
Your job will be to help keep that flow organized.
You will work closely with technicians, parts, drivers, dispatch, and leadership to ensure repairs are created, assigned, tracked, updated, and completed properly.

What You’ll Own
- Create, update, and close repair work orders
- Help prioritize daily shop work based on safety, urgency, downtime, and operational needs
- Monitor shop workflow and track repair progress throughout the day
- Communicate repair status updates to drivers, dispatch, and leadership
- Ensure technicians are clocking in and out of jobs properly in TechMetric or other shop management software
- Follow up on incomplete work orders, missing notes, and delayed repairs
- Help coordinate breakdowns and driver repair requests on the road
- Work with the parts team to ensure parts are ordered, available, and staged for jobs
- Escalate repair delays, parts issues, technician concerns, or urgent breakdowns quickly
- Support CVIPs, preventative maintenance, trailer repairs, and truck repairs
- Help create better structure, accountability, and communication inside the shop
What Success Looks Like in the First 90 Days
Within the first 90 days, you will help:
- Improve work order accuracy and completion
- Ensure repair priorities are clear each day
- Improve communication between shop, drivers, dispatch, and leadership
- Increase technician compliance with TechMetric/job tracking
- Reduce confusion around open jobs, repair status, and parts availability
- Help create a smoother daily workflow in the shop
- Support stronger follow-up on breakdowns and urgent repairs
What Success Looks Like in the First Year
By the end of the first year, you will help build a more organized and accountable maintenance operation by:
- Improving work order flow and repair tracking
- Supporting better technician productivity through clearer job assignments
- Reducing delays caused by poor communication or unclear priorities
- Helping improve preventative maintenance scheduling and follow-up
- Supporting a smoother parts-to-repair process
- Helping build consistent shop processes that support growth
- Becoming a key communication link between drivers, dispatch, technicians, parts, and leadership
Who We Want
We are looking for someone who is:
- Highly organized and detail-oriented

- Comfortable working in a busy truck, trailer, or equipment repair environment
- Able to manage multiple priorities at once
- Confident speaking with technicians, drivers, dispatch, vendors, and leadership
- Comfortable using computers and shop management software
- Willing to learn TechMetric or similar software quickly
- Calm under pressure when breakdowns or urgent repairs come up
- Focused on solving problems instead of passing them off
- Reliable, accountable, and consistent
Experience in heavy-duty trucking, trailer repair, fleet maintenance, dealership service, parts, dispatch, or service writing is strongly preferred.
