Position Description
The Coordinator, Store Maintenance, oversees facility maintenance for all store locations at the corporate level. This role is responsible for coordinating and monitoring repair and maintenance activities to ensure they are completed efficiently with minimal disruption to store operations. The coordinator manages ongoing maintenance programs, tracks open tasks, documents completed work, and monitors expenditures to maintain cost efficiency. In addition, the coordinator negotiates with vendors to secure competitive pricing, ensures service quality, and verifies that all work is performed in compliance with safety standards and established procedures.
Duties and Responsibilities
· Receive, assess, and coordinate the timely dispatch of store maintenance requests, including equipment repairs, installations, and general facility maintenance
· Coordinate service requests for a variety of maintenance needs, including general repairs, electrical systems, doors, gates and locks, HVAC, plumbing, cleaning services, music equipment, and other store-related maintenance issues
· Communicate with operations teams to prioritize maintenance activities and escalate issues as required
· Monitor and follow up on all service calls to ensure work is completed promptly, cost approvals are in place, invoiced and documented accurately, and work meets quality standards
· Respond to emergency and high-priority maintenance issues by assessing the situation, coordinating immediate corrective action, and dispatching appropriate contractors to minimize operational disruption
· Source, evaluate, and maintain relationships with existing and new vendors, ensuring qualified service providers are selected based on quality, reliability, and operational requirements. Review vendor statements and respond to vendor inquiries
· Coordinate and manage ongoing maintenance contracts, including HVAC, fire extinguishers, pest control, window cleaning, elevators, locks and keys, and waste removal, ensuring contract compliance, service quality, and timely completion of work.
· Obtain, review, and evaluate vendor quotations for contracts, repairs, and project work, selecting the most cost-effective solutions while balancing quality, service levels, and business requirements.
· Review lease information to determine Tenant vs. Landlord responsibility and obligation for repair, maintenance and other lease provisions. Ensure compliance where required
· Coordinate with other departments including the Construction Department, Loss Prevention and POS to support common objectives: New store openings, equipment issues and equipment removal for store closures
· Develop and maintain departmental systems, tracking tools, procedures, and maintenance records to accurately monitor operating costs against budget, ensure reliable recordkeeping and reporting, and identify opportunities for continuous process improvement.
· Handle after hours emergency calls
· Work with team and independently to ensure department initiatives and goals are met
Qualifications
· Post-Secondary education in a related field preferred
· Sound working knowledge of building construction and systems
· 2+ years’ experience in building repairs and maintenance
· Knowledge of retail environment an asset
· Spanish an asset
· Knowledge of the U.S. business environment and experience working with American clients is considered an asset
