Job Title: Administrative Services Coordinator (ASC)
Reporting to: Senior Manager, Executive Health and Concierge Services
Schedule: Monday – Friday, 8-hour shifts, Saturdays as needed.

GENERAL SUMMARY:
Cleveland Clinic Canada is seeking a highly organized and motivated individual with strong interpersonal skills for the position of Administrative Services Coordinator. In this role, the ASC will provide coverage and support for the Executive Health and Concierge Medicine Programs during periods of short or extended staff absences. Responsibilities include managing appointment schedules, coordinating client communications, and ensuring seamless office operations. The ideal candidate will demonstrate professionalism, patience, and a proactive approach to meeting client needs with enthusiasm and poise.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
Under the general direction of the Senior Manager, the ASC will:
- Support front desk operations, greeting and assisting clients with inquiries and service needs.
- Oversee patient check-in processes and manage daily patient flow by coordinating with medical service providers to ensure timely and efficient care delivery.
- Liaise with internal and external clinics to coordinate referrals and create a seamless patient experience.
- Ensure complete and accurate registration, including patient demographic and insurance information.
- Handle confidential personal health information in compliance with HIPAA regulations while fostering professional, positive client relationships.
- Address and resolve patient concerns in a professional and courteous manner.
- Prepare, organize, and maintain paper and digital records.
- Review next-day schedules and complete preparation activities in advance of clinic visits.
- Support the development, improvement, and evaluation of service lines related to customer service and quality initiatives.
- Maintain cleanliness and organization of common areas.
- Complete service knowledge training to effectively respond to client questions
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
Knowledge, Skills and Abilities
- Excellent customer service and communication skills to increase the business's positive feedback.
- Excellent time management, organizational, conflict resolution, and listening skills
- Support and engage in positive work culture with shared core values of teamwork, empathy, integrity and inclusion
- Punctual and reliable
- Experience working with EPIC or other electronic medical record systems is an asset
- Computer proficiency, including Microsoft Office products
Required Length and Type of Experience
- Minimum of two years customer service experience in hospitality/healthcare environment.
Education
- Medical Office Administration or Hospitality & Tourism diploma is an asset
The salary range reflects the expected compensation for this position. The final salary offered will be determined based on a holistic assessment of the candidates’ experience, education, training and alignment with the role’s expectations.
