URGENT HIRING – Full-Time Medical Office Assistant
We are currently seeking a full-time temporary (1 year) Medical Office Assistant, preferably with experience in the medical field, to join our team. We are a Methadone and Chronic Pain Clinic with a Cardiology Clinic on site.
The ideal candidate is energetic, organized, a team player, and collaborative. Our clinic environment is fast-paced, so the successful candidate must have strong computer skills, the ability to multitask, and excellent communication skills when interacting with both patients and physicians. We are looking for someone who is willing to take on multiple responsibilities and work across different clinic functions.
In this role, the candidate will primarily manage the Addiction and Chronic Pain Clinic and will also be temporarily responsible for running and supporting the Cardiology Clinic, which takes place once a week.
Key Responsibilities:
Patient Intake & Front Desk Coordination
- Welcome and register patients, ensuring accurate intake and a positive experience
- Assist patients in completing required forms
- Collect urine samples and enter results into the EMR system
- Book and manage appointments for appropriate programs and physicians
- Handle incoming and outgoing phone calls and faxes professionally and efficiently
- Update, verify, and maintain patient information in the EMR system with strong attention to detail
Clinical Support
- Take and record patient vitals, including height, weight, and blood pressure
- Perform ECGs in accordance with clinical standards
- Validate OHIP and IFH coverage to ensure accurate billing and eligibility
Administrative & Operational Support
- Monitor and maintain on-site inventory; restock exam rooms to ensure readiness
- Support general office operations to maintain an organized, efficient, and patient-focused environment
- Use Microsoft Word and Excel effectively for documentation, reporting, and administrative tasks
Hours of Operation
Monday: 9:00 AM – 5:00 PM
Tuesday: 9:00 AM – 5:00 PM (Cardiology Clinic Schedule)
Wednesday: 9:00 AM – 5:00 PM
Thursday: 9:00 AM – 5:00 PM
Friday: 9:00 AM – 5:00 PM
Qualifications
- Secondary School Diploma
- Minimum 2 years of experience as an Office Assistant, preferably in a medical setting
- Excellent written and verbal communication skills
- Strong planning, organizational, and time management skills
- Ability to prioritize tasks effectively
- Proficiency in Microsoft Office (Word, Excel, and Outlook)
- Experience with an EMR system is considered an asset
