Position Summary
The Legal Assistant/ Paralegal will provide administrative and other assistance to the Costco Canada legal department. This position will provide support for the range of operations in Canada, including litigation, compliance, commercial contracts, and employment
Job Duties/Essential Functions
● Assists with and supports all phases of litigation process across different aspects of operations, including file opening, document collection, discoveries, witness matters, and trial preparation.
● Reviews, drafts, edits and delivers prompt responses to emails with Costco warehouses and outside legal counsel.
● Prepares legal documents, including settlement agreements and contract termination notices.
● Reviews confidentiality agreements/non-disclosure agreements (NDAs) and manages the NDA process for the Legal Department.
● Completes research on matters as they arise, including legal questions, member issues, and due diligence.
● Works on special projects as necessary, such as modernizing internal processes and handling business escalations.
● Communicates heavily by phone and email with internal Costco business colleagues and outside legal counsel.
● Intakes and refers legal matters to other counsel inside and outside of Costco when lawyers are unavailable.
● Tracks compliance issues and follows up with responsible persons across several departments.
● Prepares correspondence, documents and presentations; takes responsibility for proofreading, formatting, consistency and accuracy on time-sensitive, high-profile documents.
● Establishes and maintains paper and electronic files and filing systems.
● Updates and maintains employment, litigation, commercial and regulatory databases, including adding new matters, updating existing matters, and creating and running reports from the databases.
● Routes new matters to relevant business teams, vendors and outside legal counsel.
● Supports and coordinates matters that are assigned to outside legal counsel, including coordinating Costco’s participation in formal and informal discovery-related matters.
● Responds to subpoenas, requests for information, sends and tracks litigation hold notices, tracks budgets, and assists with preparation of summary reports.
● Calculates and calendars court and other deadlines.
● Builds and maintains strong relationships with business colleagues, coworkers, and all levels of management.
● Addresses matters that do not require legal counsel’s review and/or approval.
● Regular and reliable workplace attendance at your assigned location.
Required:
● 2 years of recent experience as a legal clerk or paralegal in a law firm or in-house legal department, or comparable
experience working in a human resource related position or other related position.
● College Diploma or University Degree.
● Bilingualism in French and English (written and spoken).
● Proven and reliable ability to maintain confidentiality in all legal matters.
● Proven ability to organize and manage multiple priorities in a time constrained environment and flexibility to adapt to rapidly
changing priorities and requirements.
● Past success with project execution as well as strong analytical, strategic, independent thinking, and problem-solving skills.
● Proven history of demonstrating initiative to take on new projects and responsibilities, self-motivation, attention to detail and
accuracy, and driven to achieve results.
● Proven ability to interface with different stakeholders and communicate with others through the use of excellent written and
verbal communication skills and ability to build consensus.
● Proactive attitude, confidence, high engagement, and a strong interest in learning.
● Proven ability to stay calm and congenial, and to adjust positively to changes in direction and/or assignment.
● Advanced skills using Microsoft Office suite, Google suite, and Adobe Acrobat.
● Ability to make sound critical decisions and accept personal responsibility for those decisions.
Recommended:
● Prior experience working for or with Costco.
● Knowledge of consumer retail and/or e-commerce business operations.
● Strong familiarity with litigation processes, commercial contracting, and/or regulatory compliance.
● Relevant experience in an in-house legal department.
● Paralegal or business administration certificate.
● Warehouse management experience.
Other Conditions
● This position is a full-time in office position.

Job Types: Full-time, Permanent
Pay: $73,500.00-$90,000.00 per year
