Overview
We are seeking a professional and organized Receptionist to join our team. This role is vital in ensuring smooth daily operations by providing exceptional front desk support, managing communications, and assisting with administrative tasks. The ideal candidate will have strong office experience, excellent customer service skills, and proficiency with various computer applications. Duties
- Greet visitors and clients in a courteous and professional manner at the front desk
- Answer multi-line phone systems promptly and efficiently, directing calls as needed
- Manage appointment scheduling and coordinate meetings using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using Excel, and other office software
- Handle filing, document management, and ensure confidentiality of sensitive information
- Assist with bookkeeping tasks and basic administrative support for the team
- Support customer service efforts by addressing inquiries and providing information
- Proofread documents for accuracy and clarity before distribution
- Maintain a tidy reception area and ensure all office supplies are stocked
Skills
- Proven experience with office administration, clerical duties, or as a receptionist
- Strong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is a plus
- Excellent phone etiquette and customer service skills, especially in handling multi-line phone systems
- Organizational skills with the ability to prioritize tasks effectively
- Attention to detail for proofreading documents and managing records accurately
- Ability to handle administrative tasks such as filing, scheduling, and supporting office operations efficiently
- Strong typing skills for efficient data entry and correspondence
