Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience with medical or dental offices is a plus, but not required. The position offers an opportunity to be an integral part of our administrative team, ensuring smooth daily operations.
Responsibilities
- Greet visitors and clients in a courteous and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using QuickBooks and other office software
- Handle filing, photocopying, scanning, and other clerical duties with attention to detail
- Support customer service efforts by addressing inquiries promptly and professionally
- Assist with administrative tasks such as proofreading documents, organizing files, and updating databases
- Manage incoming mail and correspondence, ensuring timely distribution
- Support bookkeeping activities including basic bookkeeping tasks using QuickBooks
Experience
- Prior office experience is preferred, especially in clerical or administrative roles
- Prior experience in a Medical Spa in an asset
- Familiarity with Lasers and cosmetic treatments is a requirement
- Experience with multi-line phone systems and front desk operations is highly desirable
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Data entry skills with high accuracy and typing proficiency
- Customer service experience demonstrating professionalism and strong communication skills
- Medical or dental office experience is a plus but not mandatory; training will be provided if needed
- Knowledge of QuickBooks or bookkeeping experience is advantageous
- Proven organizational skills with the ability to multitask effectively in a busy environment
Pay: $15.57-$18.59 per hour
