Our client, a well-established and respected organization in Calgary's seniors' living sector, is seeking an Employee Scheduler to join their operations team.
Reporting to the Senior Manager, Supportive Living & Campus Operations, the Employee Scheduler plays a critical role in ensuring appropriate staffing coverage across multiple supportive living communities. This position is responsible for coordinating the organization's casual and floater workforce, optimizing staff utilization, supporting workforce planning initiatives, and ensuring residents continue to receive exceptional care and service.
The successful candidate will serve as a key resource to leadership teams across multiple locations, balancing staffing requirements, employee availability, operational needs, and regulatory compliance in a fast-paced environment.
Key Responsibilities

Coordinate staffing coverage across multiple communities by managing casual and floater employee schedules.

Partner with community leadership teams to understand workforce requirements and adjust staffing plans based on resident and operational needs.

Process vacation, sick leave, and other employee absences, ensuring timely and appropriate shift coverage.

Match staffing requests with employee availability, qualifications, certifications, seniority, and job classifications.

Monitor vacant shifts and proactively adjust staffing assignments to maintain adequate coverage while minimizing overtime costs.

Analyze scheduling patterns, workforce utilization, and absence trends, providing recommendations and reporting to leadership.

Ensure all scheduling activities comply with organizational policies, collective agreements (where applicable), and Alberta Employment Standards.

Support emergency staffing requirements arising from leaves, increased service demands, or unexpected operational challenges.

Collaborate with Human Resources and operational leaders to provide workforce data that informs recruitment and staffing strategies.

Act as the subject matter expert for the organization's HRIS scheduling platform, including system testing, implementation support, process improvements, and user training.

Develop and maintain scheduling procedures, training materials, and user guides for employees, supervisors, and managers.

Assist with change management initiatives related to workforce scheduling systems and processes.

Prepare regular reports on staffing coverage, scheduling performance, and workforce metrics.

Perform additional duties as required.
Qualifications

Minimum 2 years of experience in workforce scheduling, staff coordination, or a related operational role.

Post-secondary education in Business Administration, Office Administration, Human Resources, or a related field is preferred. Equivalent combinations of education and experience will be considered.

Strong understanding of scheduling principles, workforce planning, and operational staffing requirements.

Knowledge of Alberta Employment Standards is considered an asset.

Advanced proficiency with Microsoft Office, particularly Excel, along with experience using HRIS or workforce scheduling systems.

Strong analytical skills with the ability to interpret workforce data and identify trends.
