Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience with QuickBooks, and Google Workspace is a plus. This position offers an opportunity to contribute to a professional setting while developing your administrative expertise.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Handle scheduling, appointment setting, and calendar management for staff and clients
- Assist with bookkeeping and basic financial record keeping using QuickBooks or similar software
- Provide exceptional customer service and support to clients and staff, addressing inquiries promptly
- Support clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies
- Coordinate with team members to ensure efficient workflow and communication across departments
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software
- Strong computer skills with the ability to learn new systems quickly
- Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
- Exceptional customer service skills with professional phone etiquette for handling multi-line phone systems
- Ability to manage filing systems efficiently and support front desk operations effectively
- Strong typing skills to facilitate quick data entry and document preparation
- Knowledge of medical/dental office procedures is advantageous but not required; willingness to learn is essential
