West Bedford Medical Clinic is looking for an experienced and motivated Administrative Lead to oversee the daily operations of our front office. This leadership role is ideal for someone who enjoys building efficient systems, mentoring staff, and creating an outstanding patient experience in a fast-paced healthcare environment.
Responsibilities
Leadership
- Lead, supervise, and support the administrative/front desk team.
- Train and onboard new administrative staff.
- Prepare staff schedules and ensure adequate coverage.
- Provide coaching, mentorship, and performance feedback.
- Foster a positive, collaborative workplace culture.
Operations
- Oversee the daily operations of the front office.
- Ensure efficient patient flow and appointment scheduling.
- Monitor administrative workflows and identify opportunities for improvement.
- Coordinate physician schedules and clinic resources.
- Ensure clinic policies and procedures are consistently followed.
Administrative
- Manage referrals, incoming documents, and EMR workflows.
- Monitor administrative tasks and ensure timely completion.
- Maintain office supply inventory and coordinate vendor services.
- Support physician onboarding and administrative projects.
- Assist with reporting and other operational initiatives.
Quality & Compliance
- Ensure compliance with PHIA and clinic confidentiality standards.
- Develop and maintain administrative standard operating procedures (SOPs).
- Promote continuous quality improvement within the administrative team.
Qualifications
- Medical Office Administration diploma or equivalent.
- Minimum 3–5 years of medical office experience.
- Previous supervisory or leadership experience is required.
- Experience with EMRs (Med Access preferred).
- Excellent leadership, organizational, and communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to prioritize competing demands in a fast-paced environment.
- Positive attitude with a commitment to excellent patient service.

Pay: $25.00-$38.00 per hour
