Job Overview
We are seeking a highly organized and detail-oriented Assistant to support our team with administrative and clerical tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with various office software. Responsibilities
- Manage and coordinate appointments using Microsoft Outlook Calendar and Google Workspace.
- Handle incoming calls with professional phone etiquette on multi-line phone systems and front desk duties.
- Perform data entry, filing, and proofreading to ensure accuracy of documents and records.
- Assist with bookkeeping tasks using QuickBooks and maintain financial records.
- Prepare, organize, and distribute correspondence, reports, and other documentation.
- Support administrative functions such as document signing via DocuSign and managing office supplies.
- Provide exceptional customer service by addressing inquiries promptly and professionally.
- Maintain organization of files, emails, and other essential documents for easy retrieval.
- Support team members with administrative projects as needed to ensure operational efficiency.
Experience
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) is required.
- Experience with QuickBooks for bookkeeping is a plus.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing skills and attention to detail for proofreading and data entry tasks.
- Knowledge of Google Workspace applications (Gmail, Docs, Sheets) is desirable.
- Experience handling multi-line phone systems and front desk responsibilities is advantageous.
