Position Summary
We are seeking a detail-oriented and organized Office Manager / Bookkeeper to support the administrative and financial operations of our growing construction company. This part-time position is ideal for an experienced professional who can efficiently manage weekly accounting and office administration tasks while ensuring accurate financial records and timely communication with our outsourced bookkeeping provider.
The successful candidate will be responsible for verifying and compiling invoices, reviewing accounts receivable, preparing payroll information, reviewing bank reconciliations, and coordinating all financial documentation with our external bookkeeping service.
Key Responsibilities
Accounts Payable & Invoice Management
- Collect, verify, and organize vendor invoices and supporting documentation.
- Ensure invoices are coded correctly and approved for payment.
- Maintain accurate records of all accounts payable transactions.
- Forward approved invoices to the outsourced bookkeeper in a timely manner.
Accounts Receivable
- Review outstanding customer accounts and receivables.
- Monitor payment status and identify overdue accounts.
- Prepare reports for management regarding outstanding balances.
- Assist with follow-up communications regarding unpaid invoices when required.
Payroll Administration
- Compile employee timesheets and payroll information.
- Verify hours worked, wage rates, and payroll details for accuracy.
- Prepare payroll documentation for processing by the outsourced bookkeeper or payroll provider.
- Maintain confidential employee payroll records.
Financial Administration
- Review monthly bank reconciliations for completeness and accuracy.
- Identify and report discrepancies or unusual transactions.
- Ensure supporting financial documentation is properly organized and retained.
Office Administration
- Maintain organized electronic and physical filing systems.
- Assist management with administrative and financial reporting as required.
- Coordinate communication between management and the outsourced bookkeeping service.
- Support general office operations as needed.
Qualifications
Required
- Previous experience in bookkeeping, accounting administration, or office management.
- Strong understanding of accounts payable, accounts receivable, payroll, and bank reconciliations.
- Proficiency with Microsoft Office, particularly Excel.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive financial information.
- Excellent communication and time-management skills.
Preferred
- Experience working in the construction industry.
- Familiarity with accounting software such as QuickBooks.
- Knowledge of construction payroll, subcontractor invoicing, and job-cost tracking.

Compensation
Compensation will be based on experience and qualifications.
Pay: $30.00-$36.00 per hour
