Olympic Homes is currently seeking a new member to join our dynamic team as an Administrative Coordinator.
The Position
As our Administrative Coordinator, you will create a warm and inviting atmosphere for clients from the moment they enter our space. With customer experience at the forefront of everything we do, you will play an integral role in setting the tone for every interaction. This dynamic position supports a wide range of functions across the organization, including logistics, order processing, data entry, and customer service. We are looking for someone who enjoys wearing many hats, embracing new challenges, and contributing to the smooth day-to-day operation of our business. In addition, you will be responsible for creating, maintaining, and managing a variety of spreadsheets to support accurate record-keeping, reporting, and operational efficiency.
Duties
- Greet and assist customers in-person, by phone, email, and via website inquiries in a timely and professional manner.
- Qualify and manage sales leads and follow ups.
- Maintain CRM and keep customer files accurate and up to date.
- Ensure price lists are up to date and accurate.
- Utilize expert Excel knowledge to update various Excel applications.
- Assist the sales team with quotes, proposals, and purchase orders.
- Maintain a clean, organized, and fully stocked Sales & Design Centre.
- Generate reports for the sales team.
- Coordinate the shipment of materials with the Olympic shipping team and external couriers.
- Month end billing.
- Other administrative duties as they arise.
Qualifications
- Advanced Computer skills including Microsoft 365 with high proficiency in Excel.
- Ability to communicate both written and verbally in a professional and effective manner.
- Detail oriented, proactive and self-motivated,
- Strong organizational skills to manage multiple projects.
- Effective time management skills to ensure deadlines are met.
- Previous residential construction experience/ability to read blue prints an asset.
- 1-2 years of previous office experience.
- Continuous improvement mindset.
- High School Diploma or post-secondary training an asset.
- Previous exposure to BisTrack an asset.
