Office Administrator/Accounts Payable – Job Description
We are seeking a detail-oriented and organized Office Administrator / Accounts Payable Clerk to join our team. This role supports daily office operations while maintaining accounts payable and assisting with basic procurement activities. The ideal candidate is proactive, reliable, and comfortable handling multiple administrative and financial tasks in a fast-paced environment.
Key Responsibilities
Office Administration
- Provide general administrative support to the team
- Maintain office supplies inventory and coordinate replenishment
- Manage incoming mail, courier packages, and office correspondence
- Assist with document filing, record keeping, and data entry
- Coordinate office-related activities and support internal staff requests
Accounts Payable
- Process vendor invoices and verify the accuracy of coding and approvals
- Enter invoices into the accounting system and maintain accurate records
- Reconcile vendor statements and resolve discrepancies
- Maintain vendor files and respond to vendor inquiries
- Assist with month-end closing procedures related to accounts payable
Procurement Support
- Assist with purchasing office supplies and operational materials
- Create and track purchase orders
- Communicate with vendors regarding pricing, terms and conditions, orders, and deliveries
- Maintain procurement records and vendor documentation
Qualifications
- 3-5 years of experience in accounts payable, administration, or a similar role
- Experience in preparing and submitting procurement proposals is an asset
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with accounting software Syspro, is an asset
- Strong attention to detail and organizational skills
- Excellent communication and problem-solving abilities
- Ability to manage multiple tasks and meet deadlines

Job Type: Full-time
Pay: $48,000.00-$52,000.00 per year
