The Opportunity:
Reporting to the Communications & Marketing Supervisor, the Events and Administrative Support position assists the Director and Division team through the execution of City events and promotions. In addition, maintains the electronic filing system for the Division, assists with sponsorship initiatives for the Division, and supports grant applications.
MINIMUM QUALIFICATIONS, CERTIFICATIONS AND EXPERIENCE REQUIRED
- Two years’ related experience in event planning and/or administration.
- Administration, event planning or related certificate.
- Municipal government experience is considered an asset.
- Experience supporting senior leadership and/or multiple stakeholders is considered an asset.
KNOWLEDGE, SKILLS, AND ABILITIES
Technical
- Proven ability to manage multiple projects/deadlines, priorities, and assignments from staff and volunteers.
- Proven ability to meet the physical demands for event set-up and take-down.
Interpersonal/Leadership
- Customer-service oriented, with the ability to interact effectively with diverse stakeholders and represent the organization professionally. Flexible, self-directed, and able to complete work with minimal supervision, adapting to changing priorities and unexpected tasks.
- Maintain positive and responsive interactions.
- Effective communicator with a positive, approachable style; skilled in problem-solving, and stakeholder engagement.
Administrative
- Strong organizational, administrative, and time-management skills with attention to detail and accuracy in documentation.
- Proficient in Microsoft Office (Word, Excel, Outlook, SharePoint) and adaptable to new systems (e.g., Asana).
- This position will require work to be completed in the evenings and weekends.
Salary and Benefits: $30.69 - $38.36 per hour (based on 37.5 hours per week, dependent upon skills and experience). The City offers a generous benefit package, including health and welfare benefits and 6% vacation (approximately 3 weeks).
