Payroll Administrator
Position Summary
We are seeking a reliable Payroll Administrator to assist with accurate and timely payroll processing for our clients. The ideal candidate will focus on payroll execution, source deduction remittances, and basic reporting, ensuring compliance with standard CRA requirements. This is a hands-on role suitable for candidates with payroll experience who enjoy detail-oriented work and maintaining accurate records.
Key Responsibilities
Payroll Administration
- Process payrolls for multiple clients accurately and on schedule.
- Calculate and process employee tips, taxable benefits, bonuses, and other payroll adjustments.
- Ensure payroll records are maintained accurately and confidentially.
Source Deductions & CRA Compliance
- Calculate, reconcile, and remit payroll source deductions to the CRA and Revenue Quebec
- Perform payroll liability reconciliations and investigate discrepancies.
- Monitor remittance due dates and ensure timely payments.
Workers' Compensation Administration
- Set up new WSIB, WCB, Worksafe, employer accounts for clients.
- Prepare and submit monthly, quarterly, and annual workers' compensation reports and payments.
- Manage ongoing reporting requirements for Ontario WSIB, Nova Scotia Workers' Compensation Board, British Columbia WorkSafeBC, and other provincial jurisdictions as required.
- Maintain accurate payroll classifications and assessable earnings records.
- Communicate with client for CNESST payments.
Employer Health Tax (EHT) Administration
- Set up new Employer Health Tax account client (if required)
- Prepare and file monthly and annual Employer Health Tax returns.
- Calculate EHT liabilities and ensure timely remittances.
- Maintain compliance with provincial payroll tax requirements.
Benefits Administration
- Coordinate employee benefit enrollments, changes, and terminations.
- Support new hire benefit setup and payroll integration.
- Ensure payroll deductions and employer contributions are processed accurately.
Records of Employment (ROE)
- Prepare, issue, and electronically file Records of Employment (ROEs).
- Ensure compliance with Service Canada requirements and reporting timelines.
Year-End Reporting
- Prepare and file T4, T4A, and T5018 slips and summaries.
- Reconcile payroll accounts for year-end reporting.
- Generate year-end payroll reports and respond to client inquiries.
Qualifications
- PCP (Payroll Compliance Practitioner) designation, or progress toward obtaining it, is preferred.
- 2+ years of full-cycle payroll experience.
- Experience with multi-client or public practice payroll environments.
- Strong knowledge of CRA payroll regulations, WSIB/WCB reporting, EHT, ROEs, and year-end reporting.
- Experience with Quickbooks and Microsoft Excel.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple deadlines and client accounts simultaneously.
Preferred Experience
- Accounting firm, bookkeeping firm, or payroll service bureau experience.
- Multi-provincial payroll administration.
- Experience supervising or mentoring junior payroll staff.
Pay: $50,000.00-$60,000.00 per year
