Job Summary
We are seeking a bilingual (English and Chinese) Receptionist/Assistant to join our team. Ability to speak Mandarin and/or Cantonese fluently desirable. This role is vital in providing exceptional front desk support, managing administrative tasks, and ensuring smooth communication within our office. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and proficiency in office software. Responsibilities
- Greet visitors and clients professionally at the front desk, providing a welcoming environment
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry and maintain accurate records using Microsoft Office, and Google Workspace
- Handle appointment scheduling and coordinate with staff to ensure efficient workflow
- File documents systematically and manage electronic filing systems for easy retrieval
- Support administrative tasks such as proofreading documents, organizing files, and preparing correspondence
- Assist with billing, bookkeeping, and basic financial record keeping as needed
- Provide customer support by addressing inquiries promptly and courteously
Skills
- Bilingual fluency in English and Chinese (Mandarin and/or Cantonese) is required
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong computer skills including data entry, typing, and familiarity with multi-line phone systems
- Excellent organizational skills with attention to detail in filing and proofreading documents
- Exceptional customer service skills with professional phone etiquette
- Clerical experience in an office setting is a plus
- Ability to multitask efficiently in a fast-paced environment
- Strong organizational skills to manage schedules, files, and correspondence effectively
