The Opportunity
Reporting to the Director of Community Engagement, the Fund Development Coordinator - Individual Giving is responsible for supporting the growth, stewardship, retention, and accurate processing of individual giving at the Calgary Food Bank. Working alongside a passionate and collaborative team, you’ll see the direct impact of your efforts while contributing to an organization that’s making a real difference in the community.
What You’ll Do
Donor Intake, Inquiries & Gift Processing:

Serve as a primary point of contact for individual donors making gifts in person, by phone, or through other giving channels.

Respond to donor inquiries in a timely, professional, and donor-centered manner, with a focus on donation support, receipting questions, and giving options.

Provide a welcoming and informed donor experience for individuals delivering donations in person or seeking assistance with making a gift.

Work collaboratively with Community Engagement colleagues to ensure donations are coded, allocated, acknowledged, and receipted accurately.

Assist with troubleshooting donation entry, payment details, donor records, campaign codes, and receipting requirements.
-
Support the creation, maintenance, and consistent use of campaign coding to ensure accurate tracking and reporting.
Individual Giving Portfolio, Retention & Revenue Support:
-
Support retention, re-engagement, and growth strategies for lapsed and core individual donors giving up to $5,000 annually.

Develop and support stewardship activities that encourage donor renewal, upgrade opportunities, monthly giving conversion, and continued engagement.

Use donor data, giving history, campaign response, and segmentation to identify opportunities for improved donor retention and revenue growth.

Monitor donor relationships and fundraisers to identify opportunities for stronger engagement, timely follow-up, and improved donor experience.

Provide reports, insights, and recommendations to support stewardship plans, donor movement, and fundraising outcomes within the individual giving pipeline.

Identify donors with increased giving potential and collaborate with the appropriate portfolio lead to support movement through the fundraising pipeline when appropriate.
Monthly Giving Program:
-
Provide day-to-day oversight and support for the monthly donor program.
-
Support monthly donor acquisition, onboarding, acknowledgement, retention, upgrades, and reactivation strategies.

Monitor monthly donor records, payment issues, changes, cancellations, and donor inquiries to support a positive donor experience.

Work with colleagues to develop stewardship touchpoints and impact communications for monthly donors.

Track monthly giving trends and provide recommendations to strengthen donor retention and program growth.
Donor Stewardship & Engagement:
-
Create and support timely donor acknowledgements, thank-you letters, receipts, impact updates, and stewardship communications.
-
Support personalized stewardship activities for lapsed, core, monthly, and emerging new individual donors.
-
Assist with donor recognition, donor tours, cheque presentations, campaign stewardship, and donor engagement opportunities as required.

Work with the Community Engagement team to build legacy engagement and long-term donor relationships across individual giving audiences.

Ensure donors receive consistent, accurate, and meaningful communication that strengthens trust, retention, and future giving.
Data Management, Receipting & Compliance:
-
Maintain accurate and complete donor, gift, relationship, and stewardship records in Salesforce and other donor database systems.

Apply a strong working knowledge of CRA charitable tax receipting requirements and remain current on relevant receipting policies and procedures.

Prepare, review, and support timely and accurate thank-you letters and charitable tax receipts.

Use donor data and reports to support segmentation, campaign tracking, donor follow-up, retention analysis, and stewardship planning.

Identify process improvements that support accurate donation entry, donor record integrity, reporting, and donor service.
Collaboration & Strategic Fundraising:

Work closely with Community Engagement colleagues to ensure a seamless donor experience across individual giving, mid-level giving, foundations, major gifts, corporate partnerships, campaigns, and events.

Collaborate with colleagues and leadership to understand Calgary Food Bank programs, funding needs, and organizational priorities in order to communicate donor impact effectively.

Contribute to annual fundraising plans, campaign strategies, donor stewardship initiatives, and departmental objectives.

Participate as an active member of the Community Engagement team, supporting emerging priorities and cross-functional fundraising needs.
Volunteer Support:
-
Train, guide, and support volunteers assisting with donor stewardship, thank-you calls, mailings, data support, and related donor engagement activities.

Ensure volunteers supporting stewardship activities have clear instructions, appropriate context, and a positive experience.
-
Maintain confidentiality and donor care standards when working with volunteers on donor-related tasks.
Other Responsibilities:

Support organizational events, fundraising campaigns, and community engagement activities as required.

Provide front-line donor support and coverage when needed.
-
Attend occasional evening and weekend events.
-
Perform other related duties as assigned.
What You Bring
Education and Experience Required:
-
A degree or diploma in fundraising, public relations, non-profit management, business administration, communications, or a related field is preferred; an equivalent combination of education, skills, and relevant experience will be considered.

Experience in donor relations, stewardship, customer service, fundraising administration, gift processing, or a related non-profit role.
-
Strong understanding of Salesforce or comparable donor database/CRM systems; experience maintaining accurate donor and gift records is required.

Understanding of CRA charitable tax receipting guidelines, with a commitment to remaining current on charitable receipting requirements and related policies.
-
Knowledge of fundraising principles, donor stewardship practices, retention strategies, and the non-profit sector.

Excellent written and verbal communication skills, with the ability to communicate professionally with donors, volunteers, colleagues, and stakeholders.

Strong interpersonal skills and the ability to build positive relationships with a diverse range of people.

Demonstrated ability to understand and explain complex processes clearly and accurately.

Highly organized, detail-oriented, and committed to accuracy, confidentiality, and donor service.

Ability to manage multiple priorities, work under pressure, meet deadlines, and exercise sound judgement.

Ability to develop, coach, and train team members or volunteers supporting stewardship activities.

Advanced understanding of Microsoft 365 applications.

Valid driver’s license and access to a reliable vehicle.
