We are assisting our client, C.Y. Loh Associates Ltd. which is a Vancouver based, boutique structural engineering consulting firm. They specialize in commercial, institutional and residential building design for projects in the public and private sectors of various size and scope.
The company’s work is characterized by careful attention to detailing, and a conviction that the structural engineering team can participate in the project design as a full player. As a result, the firm has gained a sound reputation for providing creative solutions to difficult projects.
We are currently seeking to add a talented and like-minded Office Manager to our project team.
Key responsibilities:
- Daily office duties include:
- Receiving, identifying, saving, printing and filing incoming emails
- Answering and directing telephone calls
- Sending out mail and couriers, both local and FedEx
- Preparing files for new projects using custom software program
- Accurately filing documents
- Making data entries into software for correspondence files, using Microsoft
- Access
- Use Microsoft Excel to create simple spreadsheets for various tasks
- Proofreading documents for spelling and grammatical errors
Other duties, weekly or monthly include:
- Prepare invoices and sending them to clients
- Data entry into bookkeeping programs
- Preparing cheques for suppliers
- Receiving cheques
- Making deposits at the bank
- Implement required internal administrative forms and manuals
- Customer and Supplier account setup Write and maintain internal office procedures manual and reception handbook as
- required
- Maintain office supply inventory
- Oversee internal filing and record keeping systems
Key Requirements:
- Proven experience as an effective Office Manager or equivalent
- Working knowledge of basic accounting
- Proficiency in Excel, and familiar with current business systems and tools
- Working knowledge of WordPerfect
- High bias for action and strong attention to detail
- Ability to manage deadlines and prioritize effectively while maintaining flexibility with a client service focus
- Proven ability to effectively organize and prioritize work assignments with minimal direction and supervision
- Excellent interpersonal skills with a proven ability to work well with others throughout the organization
- Inclusive of different working styles and cultural backgrounds
- Maintain a high level of confidentiality
- Business College Certificate or equivalent would be an asset
The successful candidate will be living in the Vancouver BC area, be legally eligible to work in Canada and have strong written and verbal communication in the English language.
This is a regular full-time, in-office position, 37.5 hours per week, 9:00am to 12:30pm and 1:00pm to 5:00pm.
The expected salary range is between $55,000 to $70,000 annually. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location.
Extended health care and dental plan benefits, and paid time off are available after
successful completion of a three-month probationary period.
