Job Overview
The Administration Assistant provides administrative and operational support across the organization, including maintaining databases, event planning and execution, program support, and assisting with communications. This role involves a combination of administrative tasks, customer service, creativity and coordination with the Office Administrator and Communications and Marketing Coordinator.
Key Responsibilities:Administration:
- Collaborate with the Office Administrator to ensure databases are updated and functioning. Support organization and maintenance of SharePoint and other collaborative tools.
- Use team software programs to assist with project and events, including logistics, scheduling, timelines, and deliverables to help keep initiatives on track.
- Provide administrative and project coordination support to the Executive Director and team, including organizational projects, scheduling, and document preparation.
- Handle incoming phone calls and be a pathfinder to right team member.
Event Coordination:
- Support Event Lead in the planning and execution of events, such as fundraisers, membership drives, networking events, workshops, meetings, and industry gatherings.
- Assist in coordinating logistics, including venue selection, vendor communications, registrations, invitations, attendee communications, event supplies, promotional materials and campaigns.
- Assist with tracking event budgets, maintaining planning documents, and coordinating event timelines and deliverables.
- Support on-site event execution as required.
Communications:
- Assist in the development and distribution of event related communications including email communications, social media posts, and other promotions in collaboration with the Communications and Marketing Coordinator.
Qualifications:
- Minimum 2 years of experience in an administrative, customer service, event coordination, office support, or similar role.
- Demonstrated ability to manage multiple priorities, stay organized, and meet deadlines in a dynamic environment.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Experience using online collaboration and communication tools such as Slack, Teams, Zoom, or similar platforms.
- Experience providing administrative support to multiple team members or departments is considered an asset.
- Experience using social media platforms such as LinkedIn, Facebook, and Instagram for professional communications.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and collaboratively in a hybrid work environment.
- Ability to provide professional and responsive customer service to members, partners, and stakeholders.
- Experience coordinating projects, meetings, conferences, or events is considered an asset.
