About the Role
We are an active, fast-growing Toronto residential developer for multi-unit residential new-builds (Multiplexes). We are seeking a sharp, detail-oriented Project Coordinator with 2–3 years of local construction experience to anchor our office operations.
Working directly with the Principal Developer, you will gain full hands-on exposure to project finance, trade negotiation, and municipal approvals. This is the perfect role for an ambitious coordinator ready to step out of corporate red tape, take real project ownership, and earn performance-driven milestone bonuses.
Key Responsibilities
Project Administration & Contracts
- Procurement & Review: Review project plans, blueprints, and specifications to determine project scope. Issue Scope of Work (SOW) packages, obtain/evaluate pricing from subcontractors, and perform cost comparisons (bid leveling).
- Contract Management: Draft trade contracts, issue POs, and manage comprehensive project documentation, including RFI and Change Order logs.
- Bilingual Liaison: Act as the main administrative bridge between English-speaking officials/consultants and Mandarin-speaking trades to ensure project expectations are flawlessly communicated.
Budget Control & Construction Finance
- Cost & Risk Tracking: Maintain Excel budget sheets, log material receipts, and monitor project progress to identify potential risks and minimize delays and cost overruns.
- Bank Draws: Compile, verify, and organize all invoices, receipts, and paperwork required for monthly bank construction draws and Quantity Surveyor (QS) inspections.
Permitting, Utilities & Approvals
- City Liaison: Track building permits and Minor Variance/Committee of Adjustment statuses, and handle municipal follow-ups with the City of Toronto.
- Utility Coordination: Manage applications and scheduling for site service disconnections and new hook-ups (Toronto Water, Hydro, Enbridge Gas).
Qualifications & Requirements
- Experience: Minimum 2 to 3 years of hands-on experience as a Project Coordinator, Estimator, or Contract Administrator with an Ontario residential builder, developer, or low-rise GC.
- Technical Knowledge: Proven ability to read and interpret blueprints, drawings, specifications, and contracts.Strong knowledge of residential construction methods, materials, OBC Part 9 (Housing and Small Buildings), and industry best practices.
- Project & Budget Skills: Experience preparing and tracking detailed cost comparisons, project budgets, and schedules. Ability to manage multiple projects and administrative priorities simultaneously.
- Language & Communication: Must be fully bilingual in English and Mandarin. Strong communication skills with the ability to coordinate subcontractors, suppliers, and consultants effectively.
- Soft Skills: Excellent organizational, problem-solving, and time-management skills with high attention to detail.
- Mobility: Valid Ontario G Driver’s License.

Pay: $50,000.00-$80,000.00 per year
