About the Role
We are looking for a highly organized, proactive, and very resourceful Business Operations Coordinator to support a growing preserved roses gifting and e-commerce business.
This is not a traditional administrative assistant position. We are seeking someone who enjoys solving problems, taking initiative, improving processes, generating opportunities, and helping keep a growing business organized and moving forward.
You will work directly with the founder and support a variety of operational, administrative, logistics, supplier, marketing, sales, and business development activities.
The ideal candidate is professional, detail-oriented, highly organized, and capable of working independently with minimal supervision. We are looking for someone who takes ownership of their work, follows through on commitments, and enjoys finding solutions rather than waiting for instructions.
This role offers the opportunity to gain hands-on experience across operations, e-commerce, logistics, supplier management, marketing coordination, sales, and business development. As the business grows, there may be opportunities for expanded Responsibilities, leadership, and increased compensation.
This is a hybrid position that combines remote work with regular in-person support. While much of the work can be performed remotely, the successful candidate must be available to attend the Etobicoke location approximately 1–2 times per week.
Key Responsibilities
Operations & Inventory Support
- Help coordinate day-to-day business operations
- Monitor inventory levels and identify restocking needs
- Conduct inventory and storage reviews
- Support production and order workflow coordination
- Maintain organization across operational systems and processes
- Identify opportunities to improve efficiency and streamline workflows
Accountability & Business Oversight
- Assist the founder in overseeing day-to-day business activities
- Monitor ongoing projects and business priorities
- Follow up with team members, contractors, vendors, agencies, suppliers, and service providers
- Track progress across departments and help ensure projects remain on schedule
- Escalate delays, issues, or bottlenecks when necessary
- Help maintain accountability and execution across the business
Vendor & Supplier Coordination
- Communicate with domestic and international suppliers
- Follow up on orders, shipments, and logistics
- Manage supplier communications through email, Alibaba, WeChat, and other platforms
- Track deliveries and assist with logistics coordination
- Help resolve supplier and fulfillment issues
Administrative Support
- Organize and manage business emails
- Draft and respond to professional communications
- Maintain spreadsheets, records, and operational documents
- Assist with reporting and business tracking
- Coordinate with vendors, partners, and service providers
Sales & Business Development
- Research potential clients, partners, and business opportunities
- Assist with outreach to funeral homes, nursing homes, healthcare providers, corporate clients, and other potential partners
- Send introductory emails and follow-up communications
- Track leads and maintain organized sales pipelines
- Schedule meetings and support relationship-building efforts
- Assist in generating new business opportunities and sales growth
Marketing & Project Coordination
- Assist with coordinating marketing initiatives and campaigns
- Track projects and deliverables with external vendors and contractors
- Help organize content schedules and promotional activities
- Support product launches and special projects
General Business Support
- Troubleshoot operational and technology-related issues
- Proactively identify challenges and recommend solutions
- Assist wherever needed to help keep the business moving forward
- Take ownership of tasks and projects from start to finish
Qualifications
Required
- Excellent written and verbal English communication skills
- Spanish is a plus
- Strong organizational and time-management skills
- Ability to work independently with minimal supervision
- Strong problem-solving abilities
- Comfortable learning new software and systems
- Proficiency with Google Workspace and/or Microsoft Office
- Comfortable communicating professionally by phone, email, and video meetings
- Professional, reliable, and detail-oriented
Preferred
- Experience in operations, administration, logistics, e-commerce, sales, or business support
- Experience with Shopify or other e-commerce platforms
- Experience working with suppliers and vendors
- Experience with business development, sales outreach, or lead generation
- Familiarity with AI tools
- Customer service experience

Compensation & Contract Details
- Independent Contractor position
- Starting compensation of $22/hour
