Job Overview
The Facial Lounge is seeking an experienced, professional, and highly organized Receptionist/Clinic Coordinator to join our growing medical facial clinic team. This key role is responsible for managing front desk operations, coordinating client appointments, supporting daily clinic operations, and ensuring an exceptional client experience from start to finish.
The ideal candidate will have previous experience working in a medical aesthetics, spa, healthcare, or clinic environment and possess strong administrative, communication, and organizational skills.
Responsibilities
Welcome clients warmly and create a positive, professional first impression.
Answer incoming phone calls, respond to inquiries, and manage clinic communications.
Monitor and respond to emails in a timely and professional manner.
Schedule, confirm, and reschedule appointments as needed.
Coordinate daily schedules between practitioners and clients to ensure smooth clinic operations.
Maintain accurate client records and treatment documentation.
Process payments and assist clients with product and treatment purchases.
Monitor inventory and stock levels, place orders, and ensure products and supplies are adequately stocked.
Keep the reception area, treatment rooms, and clinic environment clean, organized, and presentable.
Assist with client check-in and check-out procedures.
Support clinic management with administrative tasks and day-to-day operations.
Follow clinic policies and maintain client confidentiality at all times.
Skills & Qualifications
Minimum 1–2 years of receptionist, clinic coordinator, medical receptionist, or administrative experience required.
Previous experience in a medical aesthetics clinic, med spa, healthcare clinic, or similar environment is strongly preferred.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Ability to work efficiently in a fast-paced environment while maintaining professionalism.
Detail-oriented with excellent time management skills.
Comfortable using appointment booking software, email platforms, and computer systems.
Professional appearance and customer-service-focused attitude.
Ability to work independently and collaboratively with a team.
