We are looking for a detail-oriented and approachable Receptionist to support a construction and contractor office. This is a contract position suited to someone who communicates confidently, creates a welcoming experience for visitors, and stays productive in a quieter front-desk environment. The successful candidate will serve as a key point of contact for both internal teams and external guests, including key clients and senior leaders.
Responsibilities:
- Welcome visitors, maintain a welcoming front-desk presence, and ensure guests are assisted promptly and courteously.
- Answer and direct incoming calls using a multi-line phone system while providing clear and effective communication.
- Monitor the locked entrance, manage visitor access, and respond to courier arrivals by following site instructions.
- Coordinate deliveries and support the handling of packages and materials for office staff.
- Keep the reception area and shared spaces neat, organized, and presentable throughout the day.
- Assist with meeting and visitor hospitality by arranging refreshments such as coffee and water for clients and guests.
- Help organize lunch bookings or reservations as needed to support meetings and schedules.
- Provide administrative support through email management, appointment coordination, file organization, and routine data entry.
- Work closely with corporate services and leadership while asking questions when clarification is needed to ensure tasks are completed accurately.
- Previous experience in a receptionist, front-desk, or customer-facing administrative role.
- Strong verbal communication skills with a confident and courteous manner.
- A detail-oriented approach and the ability to interact effectively with executives, clients, and visitors.
- Comfortable managing a multi-line phone system and handling incoming calls efficiently.
- Proficiency with Microsoft Outlook, Word, and Excel for everyday administrative tasks.
- Solid organizational skills with the ability to keep files, appointments, and front-desk activities in order.
- Capable of working independently in a slower-paced office while remaining attentive and proactive.
- Willingness to learn, ask questions, and adapt to changing daily priorities.
