Sunnybrook Department of Medicine Association is seeking a highly organized and detail-oriented Administrative Assistant to support the Dermatology division. The successful candidate will play a key role in coordinating various clinical and administrative tasks including appointment management. This position requires excellent communication skills, EMR proficiency, and the ability to multi-task in a fast-paced environment.

ACCOUNTABILITIES:
(Responsibilities include; but are not limited to:
· Managing all patient bookings; inquiries and scheduling appropriate tests and running in person clinics
· Answering the phone and returning voicemails
· Responding to patient and physician emails in a timely manner
· Managing and maintaining physician schedule
· Coordinating appointments with other departments and clinics
· Collaborating and coordinating activities with external sites involved in the physicians’ practice
· Maintain electronic filing systems and ensure accurate chart organization
· Coordinating room bookings
· Providing coverage for outpatient clinics when required
· Provide general administrative support to physicians
· Ensuring smooth clinic operations through effective communications and organization
· Manage rejected OHIP billing submissions
Perform other duties as required.
:
· Experience in the TELUS input Health EMR system is an asset
· Ability to work in a team environment with other administrative assistants and interdisciplinary team members.
· College Diploma in a related discipline, or recognized equivalent, or a combination of education and experience is required.
· Demonstrated advanced working knowledge of Microsoft Word, Excel and Outlook.
· Experience as an administrative assistant is an asset. Hospital experience is preferred
· Proven knowledge of medical terminology
· Demonstrated ability to take initiative and act independently using sound judgment as well as accepting directions
· Demonstrated excellent written and oral communication skills and good team player skills
· Responsible time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency
· Ability to work independently and balance multiple work demands, including time-sensitive requests
· Excellent interpersonal skills and ability to relate to and work well with a diverse group of individuals
· Tact and discretion in dealing with sensitive and confidential issues
· Ability to maintain strict confidentiality
Pay: $19.00-$22.00 per hour
