Job Purpose
The Junior Facilities Coordinator, Facilities and Planning provides a wide range of administrative and project support to Facilities and Planning team, including:
- updating of CAD drawing records,
- construction renovations – posting notices, completing site assessments
- conditions assessment audits of interior and exterior spaces
- spot audits of custodial work in accordance to service contract KPIs
- spot audits of recycling and waste to maximize waste diversion
- preventative and restorative projects,
- updates to finish sample and product manual library,
- filing of project documents and manuals
- other duties as assigned
Qualifications
- Enrolled in a minimum 2nd year College or University degree in Architecture or Interior Design.
- Must be able to work with AutoCAD software.
- Must be an active student enrolled through the end of the contract.
- Knowledge of Law Society policies and procedures.
- Knowledge of Request for Proposals and Tenders.
- Knowledge of building maintenance, construction and cleaning service requirement.
- Ability to produce project planning documents including schematic plans.
- Proficiency in AutoCAD, word processing, spreadsheet applications, internet intranet use.
- Contract Administration.
- Familiar with Health and Safety Act.
Key Accountabilities:
Client / Customer Service Planning
- Informs and coordinates with Facilities and Planning, internal staff, clients and external service providers affected by audit work. Helps improve and maintain an efficient electronic file management system. Performs detailed reviews of building needs through inspections, recommends project priorities in keeping with operating budgets and short to intermediate term Facilities and Planning capital plans.
Client / Customer Service Delivery
- Receives and prioritizes work assigned. Keeps accurate records and statistics of maintenance work performed, associated costs, vendors and completion dates. Reviews existing conditions of facilities (floors, walls, ceiling tiles, light fixtures…), communicates regularly with the Director, Facilities and Planning regarding conditions identified, and provides input to the development and maintenance of building and capital budgets. Monitors cleanliness, safety audits, service contract key performance indicators, maintenance and construction notices, and verifies alignment of base building record drawings with existing conditions.
People Leadership
- Informs and coordinates with Facilities and Planning, internal staff, clients and external service providers affected by assigned tasks. Assesses the performance of contract staff in accordance with the existing service level agreements, notifying the Director regarding performance issues as appropriate.
Financial Responsibility
- Assists the Director, Facilities & Planning to prepare tender documents / bid packages and obtain quotations from outside vendors.
Team Membership
- Actively participates with all members of the department team and contacts within and throughout the organization, contributing to the efficient and professional delivery of services. Seeks opportunities to improve and expand work processes. Updates team members on execution of assigned tasks.
